The Business Support Coordinator is part of a shared administration and coordination function that provides consistent, high-quality support right across WellSouth. Reporting to the Team Leader, Shared Support Services, you will hold a set of core responsibilities alongside the rest of the team and take ownership of one or more specialist portfolios of your own.
Working this way means the team can cover for each other properly, our processes stay consistent, and you get to broaden your experience across different parts of the organisation over time rather than staying in one lane.
Our shared support team works across our Dunedin and Invercargill offices, but this role is based in Invercargill.
What You'll Do
• Provide professional, reliable administration and coordination support across the organisation, including reception, scheduling, travel, bookings and event support
• Own one or more specialist portfolios and be the recognised point of contact and accountability for that work. Portfolios are allocated according to organisational need and may include clinical programmes, mental health and wellbeing, fleet, workforce, equity, practice partners, contracts and governance support
• Prepare accurate agendas, minutes and papers, and support Board and committee processes
• Keep records, documentation and portfolio knowledge organised and accessible, so colleagues can pick work up and provide cover when it is needed
• Provide diary, email and correspondence support to managers, and cross train across portfolios so the team stays resilient through leave and periods of high demand
About You
To be successful in this role you will have:
• Three to five years' experience in an administration, coordination or support role
• Strong coordination and administration skills, with excellent attention to detail and the ability to manage competing priorities
• Sound judgement, initiative and discretion, and the ability to handle confidential information properly
• Excellent written and oral communication skills.
• The ability to work calmly under pressure, follow a task through to completion and meet deadlines when required
• Comfort with change, and a willingness to adapt to new systems and evolving ways of working
• A high level of proficiency in MS Word, Excel, Outlook and Teams
• Experience in health or the wider public sector is an advantage
• A relevant qualification, such as a Certificate or Diploma in Business or Administration, is desirable
