JOB SUMMARY

The Facilities Manager is responsible for the daily operations, maintenance, and readiness of all Rainbow Village facilities. Job Summary

The Facilities Manager is responsible for the daily operations, maintenance, and readiness of all Rainbow Village facilities. This includes overseeing service providers, maintaining compliance with government regulations, ensuring apartments are furnished and prepared for occupancy, supporting event space setup and takedown, and overseeing inventory and stockroom organization. The Facilities Manager will manage budgets, plan future facility needs, and uphold the highest operational standards to support Rainbow Village's mission.

Key Responsibilities

Facilities Coordination & Daily Campus Readiness

• Conduct routine walkthroughs of apartments, offices, program areas, common spaces, and exterior areas to identify maintenance, cleanliness, safety, and readiness needs.

• Receive, prioritize, coordinate, and track facility and maintenance requests through completion.

• Complete basic maintenance and minor repairs that can be safely performed in-house; coordinate licensed or specialized vendors for HVAC, plumbing, electrical, security, and other technical work.

• Monitor buildings, grounds, equipment, furniture, and shared spaces and promptly communicate significant concerns to the Chief Operations Officer.

• Help maintain clean and orderly indoor and outdoor campus spaces, including routine general cleaning as needed.

Apartment Turns & Move-In Readiness

• Coordinate and complete apartment turns between resident move-out and new family move-in.

• Paint apartment interiors and complete touch-up painting as needed.

• Clean apartments during turnover, including kitchens, bathrooms, floors, surfaces, appliances, cabinets, and other areas necessary for move-in readiness.

• Complete basic apartment-readiness repairs and identify work that requires an outside vendor.

• Coordinate furniture placement, household setup, and final readiness checks so apartments are clean, safe, functional, and welcoming.

• Maintain an apartment-turn checklist and communicate status, outstanding needs, and anticipated completion dates.

Cleaning, Grounds & Common Areas

• Perform general cleaning and upkeep in offices, program spaces, community areas, storage areas, and other facilities when needed.

• Support outdoor campus upkeep by picking up litter, keeping entrances and walkways orderly, monitoring exterior conditions, and coordinating landscaping or other contracted services.

• Assist with seasonal, special-event, and periodic deep-cleaning needs.

• Help ensure cleaning and maintenance supplies are available and properly stored.

Vendor & Service Coordination

• Schedule and coordinate vendors and service providers for specialized repairs, preventive maintenance, cleaning, security, landscaping, pest control, and other facility needs.

• Meet vendors on-site when necessary, communicate the scope of work, provide access, and confirm work has been completed.

• Obtain quotes and supporting information for facility work and provide recommendations to the Chief Operations Officer.

• Maintain vendor contact information, service records, warranties, and related documentation.

• Escalate recurring vendor, cost, quality, or service concerns to the Chief Operations Officer.

Preventive Maintenance, Safety & Inspections

• Maintain a routine preventive-maintenance schedule and coordinate required service for facility systems and equipment.

• Support regular apartment, building, safety, and property inspections and track corrective items to completion.

• Identify and report hazards, property damage, water intrusion, equipment concerns, accessibility issues, and other conditions requiring attention.

• Support implementation of emergency-preparedness, safety, and facility-response procedures.

• Maintain appropriate documentation of inspections, repairs, preventive maintenance, and completed work.

Inventory, Furniture & Supplies

• Maintain organized maintenance, cleaning, furniture, and household-supply storage areas.

• Track commonly used supplies and communicate restocking needs before inventory becomes critically low.

• Coordinate receipt, storage, movement, and setup of donated or purchased furniture and household items.

• Assist with periodic inventory counts and removal or disposal of damaged or unusable items in accordance with organizational procedures.

Event & Program Support

• Assist with setup and breakdown of meeting, training, volunteer, and event spaces, including tables, chairs, furniture, equipment, and supplies.

• Coordinate facility-related needs for on-campus events and special projects.

• Support volunteer groups completing approved campus improvement, cleaning, landscaping, furnishing, or special projects.

Facilities Administration & Budget Support

• Maintain work-order, maintenance, inspection, vendor, apartment-turn, and facilities records using the organization's designated systems.

• Track routine facility purchases and expenditures and provide documentation to support budget monitoring.

• Assist the Chief Operations Officer with facility budget planning by identifying anticipated maintenance, supply, vendor, repair, and replacement needs.

• Follow established purchasing, approval, and vendor procedures and seek approval before committing the organization to significant expenditures.

• Provide regular updates on open work, apartment readiness, vendor activity, recurring maintenance issues, and emerging facility needs.

Team Collaboration

• Work collaboratively with program and administrative staff to coordinate facility needs without disrupting resident services and programming.

• Communicate professionally and respectfully with residents, staff, volunteers, vendors, and community partners.

• Respond flexibly to changing campus priorities, urgent facility needs, apartment turnovers, and special projects.

CORE COMPETENCIES

• Hands-on facility and property upkeep with the ability to complete basic maintenance, painting, cleaning, and apartment-readiness work.

• Strong coordination and follow-through skills; able to manage multiple work requests, vendors, apartment turns, and priorities.

• Practical problem-solving and sound judgment about what can be handled in-house versus when a licensed or specialized vendor is needed.

• Good organization and recordkeeping, including work orders, inspections, inventory, vendor information, and receipts.

• Clear, respectful communication with residents, staff, volunteers, vendors, and leadership.

• Dependability, attention to detail, initiative, and pride in maintaining clean, safe, welcoming spaces.

• Basic comfort using email, work-order/CMMS systems, spreadsheets, and other common workplace technology.

QUALIFICATIONS

• High school diploma or GED required; technical, trade, facilities, property-management, or related training is a plus.

• Three or more years of relevant experience in facilities, property maintenance, apartment maintenance, building services, hospitality, residential operations, or a related hands-on environment preferred.

• Experience coordinating vendors and completing basic maintenance, painting, cleaning, apartment turns, or property-readiness work strongly preferred.

• Working knowledge of basic building maintenance and the ability to recognize when specialized or licensed service is required.

• Valid driver's license and ability to travel locally for supplies, vendors, or organizational needs as required.

• Facilities, maintenance, OSHA/safety, HVAC, electrical, plumbing, or similar certifications are helpful but not required.

PHYSICAL DEMANDS / WORK ENVIRONMENT

This is an active, hands-on position that works throughout residential apartments, offices, program spaces, storage areas, and outdoor campus areas. The employee is regularly required to stand, walk, bend, stoop, reach, climb stairs, use hands and basic tools, move furniture and supplies, and perform cleaning, painting, and minor maintenance tasks. The role may require lifting and carrying items weighing up to approximately 50 pounds, with assistance or appropriate equipment used for heavier items. Work may occur indoors and outdoors in varying weather conditions. Occasional evening or weekend work may be required for apartment turns, urgent facility needs, events, or special projects.
