About this role
We are looking for an organised, proactive, and detail‑driven Operations Officer to join our Flight Operations Department. Reporting to the Ground Operations Manager, you will play a key role in supporting both day‑to‑day logistics and aviation operations.
✈️ Key Responsibilities
This is a dual-purpose role, combining Ground Operations responsibilities with dedicated travel coordination support.
Your main duties will be operational and administrative, including but not limited to the following:
Ground Operations
• Coordinating and planning Company operations, including:
• Route planning
• Arranging Customs and Special Branch clearances
• Arranging Foreign operating permits
• Coordinating airport handling arrangements
• Identifying off-airport landing sites
• Conducting landing site surveys and permissions
• Coordinating chauffeur transfers and catering
• Preparing and sending charter quotations
• Preparing and issuing crew flight briefs and associated documentation
• Arranging Company travel, including flights, hotels, car hire, and taxis
• Arranging Crew travel
• Managing aircraft and crew schedules using the Company's scheduling and rostering systems
• Providing flight-following support
• Processing post-flight paperwork and invoicing
• Responding to telephone and email enquiries
• Participating in shared and rostered evening, weekend, and bank holiday on-call duties
Engineering Travel Coordination
• Acting as the primary point of contact for all travel arrangements relating to a team of engineers
• Coordinating flights, accommodation, ground transportation, visas, and other travel requirements
• Managing travel schedules and itinerary changes to support project delivery
• Liaising with engineers, project stakeholders, and travel providers to ensure cost-effective and efficient travel solutions
• Monitoring travel expenditure and ensuring compliance with Company travel policies
💼 Person Requirements
• Experience in operations coordination, travel management, logistics, project administration, or a similar role
• Excellent planning and organisational skills, with the ability to manage multiple competing priorities simultaneously
• Experience arranging complex travel itineraries, including flights, accommodation, ground transportation, and last-minute changes
• Strong attention to detail and the ability to work accurately in a fast-paced environment
• Excellent verbal and written communication skills, with the confidence to liaise with engineers, crew, suppliers, airports, and senior stakeholders
• Strong problem-solving skills and the ability to remain calm under pressure
• Good commercial awareness and the ability to source cost-effective travel and operational solutions
• Proficiency in Microsoft Office applications, particularly Excel, Outlook, and Word
• The ability to work independently while contributing positively to a team environment
• A flexible and adaptable approach to changing operational and project requirements
• Experience using scheduling, rostering, booking, or travel management systems would be advantageous
• Previous experience within aviation, travel, transport, logistics, or a similarly regulated operational environment would be desirable
• Access to own transport, as the location is not served by public transport
