JOB SUMMARY

Join the FCSN East Bay Social Recreation and Outreach Program team as a Program Assistant! In this rewarding role, you will work alongside the Enrichment and Outreach Program Coordinators to support engaging social recreation, enrichment, outreach programs, and special events for individuals with diverse needs and their families.

We are looking for someone who is organized, dependable, patient, and enthusiastic about creating positive and inclusive experiences. This is a part-time position and requires availability on weekends.

JOB DUTIES AND RESPONSIBILITIES

Program Coordination and Participant Support

• Coordinate, promote, facilitate, and supervise engaging social recreation and enrichment programs.

• Lead and/or support program activities and class instruction.

• Create a welcoming, safe, positive, and inclusive environment for participants, families, and volunteers.

• Build positive relationships with participants and provide individualized support with care, patience, and encouragement.

• Support participants with individual behaviors as needed and notify parents and the Program Supervisor when additional assistance is necessary.

• Prepare program rooms and materials before each program and assist with clean-up afterward.

• Observe and document participant progress and provide relevant program updates to the Program Supervisor

Participant and Program Administration

• Prepare and maintain client files, enrollment lists, and program registrations.

• Prepare and update participant and volunteer sign-in/sign-out sheets and ensure accurate attendance records.

• Assist with maintaining program schedules and monthly client billing.

• Prepare feedback surveys and help gather participant and family feedback to support ongoing program improvement.

• Create and distribute weekly program updates and promotional materials, including engaging and informative flyers.

• Regularly update the Social Recreation and Enrichment Program website with current program information.

• Assist with program planning, communication, and other administrative needs

Family and Volunteer Engagement

• Communicate regularly with families regarding current and upcoming programs, events, and participant needs.

• Respond to family questions and provide timely program-related information.

• Recruit, support, and motivate volunteers.

• Track and maintain accurate volunteer hours and recognize volunteers for their valuable contributions.

• Foster positive relationships with families, volunteers, and members of the community.

Events, Outreach, and Community Engagement

• Assist with special programs and events, including the Talent Show, Drama Camp, Music Camp, Disability Resource Festival, and other projects as needed.

• Support outreach activities that promote program offerings and help recruit participants.

• Build and maintain positive relationships with families, community resources, school districts, healthcare providers, regional centers, disability service agencies, and advocates.

• Represent FCSN at community and public events and help increase awareness of available programs and services

Collaboration and Other Responsibilities

• Work closely with the Enrichment and Outreach Program Coordinators, Administration, and Accounting to support effective program operations.

• Perform other duties and responsibilities as assigned

MINIMUM QUALIFICATIONS

• High school diploma or equivalent required.

• Experience working with individuals with diverse needs preferred. A background in Special Education, Child Development, Psychology, or a related field is a plus.

• Availability to work Saturdays and/or Sundays to support weekend programs and special events, including the Talent Show, Drama Camp, Music Camp, and Resource Festival.

• Strong organizational, time-management, and communication skills, with attention to detail.

• Reliable, flexible, patient, and able to learn quickly and adapt to new challenges.

• Ability to work effectively both independently and as part of a collaborative team.

• Proficiency in Google Workspace, including Docs, Slides, Sheets, and Forms; experience with Canva is a plus.

• Fluent in English; bilingual skills are a plus but not required.

• Ability to travel to various community locations in and near Fremont.
