Job Description: This job is responsible for providing diverse and confidential administrative support, including greeting and directing customers, associates, or other visitors. Key responsibilities include answering phone calls and taking messages, scheduling meetings, booking conference rooms, and making appointments. Job expectations include performing administrative duties including updating documents, memos, letters and forms and following procedures and practices.
Responsibilities:
Provide full administrative support to executives and teamManage complex calendars, scheduling internal/external meetings and resolving conflictsScreen and handle incoming calls with discretion and proper prioritizationCoordinate complex travel logistics e.g. flights, visas, itineraries, etcProcess expense claims and invoices in line with company policiesSupport onboarding of new hires/transferees e.g. system setup, equipment, office arrangements, etcProvide logistics support to regional and global visitorsSupport events logistics with proper approval and record keepingPerform general office administrative dutiesAccurately document and relay messages with appropriate judgment Requirements:
1+ years of relevant experience providing support to team of executive; prior financial institution experience is highly preferredExcellent communication and organizational skills, with the ability to interact effectively with senior managementAbility to work collaboratively under tight deadlines with minimal supervision, and flexibility to work extended hours or weekend when neededSelf-motivated with a proactive mindset, capable of handling a wide range of responsibilities independently while contributing as a team playerProfessional and diplomatic in handling sensitive situations and client interactionsPositive attitude, proactive, energetic, and hardworking team playerFluent in English Skills:
