About this role

Job summary

We are a friendly and supportive training practice located on the outskirts of Halifax, West Yorkshire and we have a very exciting opportunity for a motivated, committed and experienced Deputy Practice Manager to join the team for 37 hours per week.

We are looking for a motivated Deputy Practice Manager who is passionate about providing high quality healthcare and tackling the role in new and exciting ways. We want you to come and work alongside an already motivated and inspiring practice team of like-minded and varied professionals.

Main duties of the job

Supporting the PM and the leadership team in the day-to-day operations of the practice

Maintaining the upkeep of the clinical rotas

Arrange and organise all locum cover

Monitor and record annual leave, sick leave and time back requests for the practice

Daily transportation between practice sites

Take the lead on the maintenance of all the practices buildings, dealing with defects, maintenance etc

Stock ordering across all practice sites for clinical and non-clinical items

Coordinate the procurement of new equipment and the maintenance and service of existing equipment (both medical and non-medical)

Maintain the monthly database for medical consumables, immunisations and stationary

Take the lead with any trainees at the practice

Preparing and producing the practice newsletter

Responsible for the collation and typing of Critical Incident Report forms

Taking the lead in organising and the administration of the PPG

Prepare for and provide support at seasonal clinics

Monitoring and disseminating information on safety alerts and other pertinent information

Banking monies received by the practice, maintaining appropriate levels of stamps at the practice and petty cash levels

Providing any information which may be required for financial accounts purposes

Organise practice events, collections and social functions

Overseeing the secretarial, administration and support operations

Line managing all secretarial and administrative staff

Staff appraisals

Team training

Secretarial and administration staff rotas

About us

We are currently a two site practice based in a beautiful part of West Yorkshire and the successful candidate will be required to work across both of our sites. The surgery is extremely well-established, friendly, supportive and inclusive. We have a growing practice size of approximately 16,500 patients currently based over the two sites which are located within ten minutes of each other.

We are committed to the well-being of our patients and staff and always welcome new ideas to improve patient care. We are very proud to have an excellent reputation in the local area, providing very high standards of care and currently rated Good by CQC. We take an active part in our PCN (Lower Valley PCN) and the LMC with one of our GP Partners currently the Clinical Director of our PCN and another GP Partners who is on the LMC board. The practice uses TPP SystmOne clinical system.

The team includes six GP Partners, two Salaried GPs, four Advanced Clinical Practitioners who are supported by a full Nursing Team comprising of four Practice Nurses, one Nursing Associate, one Healthcare Assistant, two Phlebotomists as well as Pharmacy Prescribers. The practice also has First Contact Physiotherapy and Podiatry services running from the practice.

Person Specification

Qualifications Essential

Good standard of general education, including English and Maths (GCSE or equivalent). Evidence of relevant management, supervisory or leadership experience and/or training. Evidence of continuing professional development relevant to the role.

Desirable

Management or leadership qualification, or equivalent relevant experience. Qualification in business administration, healthcare management or a related field. Training or qualification in HR, employment law, finance, governance or practice management. AMSPAR qualification or equivalent primary care management qualification.

Experience Essential

Significant experience of working within general practice, primary care or a similar healthcare environment. Experience of supervising, leading or managing staff. Experience of managing and prioritising a varied and demanding workload. Experience of dealing with sensitive, confidential and complex matters appropriately. Experience of working collaboratively with clinical and non-clinical colleagues. Experience of implementing and maintaining administrative and operational systems and processes. Experience of dealing effectively with patients, staff and other stakeholders, including managing difficult or challenging situations. Experience of using clinical and administrative IT systems within a healthcare environment. Experience of contributing to service improvement and implementing change.

Desirable

Previous experience in a management or senior leadership role within general practice. Experience of HR processes, including recruitment, absence management, performance management and employee relations. Experience of handling patient complaints and significant incidents. Experience of CQC compliance, governance, risk management and health and safety. Experience of staff training, development and appraisal. Experience of financial administration, budgeting, payroll or practice finances. Experience of working with PCNs, ICBs and other external NHS organisations. Experience of premises and facilities management
