About this role

Job summary

We are looking for an enthusiastic and motivated individual to join our team as Admin Assistant within the department of Nutrition and Dietetics.

This is a varied role requiring good organisational, communication and problem-solving skills. In addition, you will be required to work flexibly, prioritise demands and respond to a constantly changing workload.

This post is full time Monday-Friday.

This post will be based at North Tyneside General Hospital but the post holder may be required to work at other sites within the Trust.

Main duties of the job

Duties of the role will vary, some of the main duties will include:

First point of contact and subsequent contact for written and telephone enquirers from professions, patients and carers which may involve sensitive information. Manage the departments telephone system, monitor inbox and referrals, using a variety of software packages. To book appointments for clinicians. To book interpreters To type patient letters. Resolve any queries as and when raised regarding appointments. The postholder must be able to use own initiative, work under pressure, keep to strict deadline and have excellent organisational, interpersonal and communication skills.

Job description Job responsibilities

Provide comprehensive administrative support to the team - typing, booking clinics, creating clinics, booking rooms, photocopying. Reports to the Dietetic Admin Lead. Act up for Admin Lead in periods of absence Support effective utilization of OP clinic capacity by review clinic demand. Support management of all pathways including target administration e.g. GP referral, 18 week pathway, transcribing. Collect and collate date, producing reports for analysis. General Office management - telephone, photocopier. Advanced typing & transcription of clinical & non-clinical documents

Person Specification

Qualifications / Professional Registration Essential

NVQ Level 3 in Business admin or customer care or equivalent experience Typing RSA 2 or equivalent Good standard of education including literacy and numeracy

Desirable

GCSE English Language Grade C or above or equivalent experience ECDL qualification AMSPAR Diploma (or equivalent experience)

Experience and knowledge Essential

Medical Secretary Training

Desirable

Experience in working in NHS Experience of working in a sensitive and confidential environment
