Associate Director
Position Description: Performs varied and complex administrative duties in the management and coordination of a large specialized project and/or program. Requires independent judgement and application of established policies and procedures. Works under general supervision with evaluation based on overall results obtained.

Major/Essential Functions: • Serves as liaison between Office of Faculty Affairs and President and Deans, recruiting departments and candidates in representing faculty position qualifications, position duties, salary, benefits and work environment for faculty openings. • Manages all faculty search activities for senior leadership positions and faculty position as assigned by the Director of Faculty Recruitment. • Develops sourcing strategies for the recruiting departments and administration for all open faculty positions, and implements searches to include preparation and posting of journal and internet advertisement, direct mail campaigns, etc. • Fulfills search coordinator/departmental liaison role and provides administrative and logistical support to search committee chairs and committee members to ensure that all processes, policies and procedures are observed in accordance HSE EP OP 60.09. • To include search committee meeting logistics, minutes, action items, advertisements, job postings in Kenexa and or job boards, expense management, candidate tracking, site visit coordination and execution as assigned by supervisors. • Collaborates with the Director for Faculty Onboarding to develop faculty recruitment workflows. • Develops policies and procedures to ensure communication with all recruitment process stakeholders to provide faculty recruitment updates on all open faculty searches and maintains confidentiality as required. • Ensures customer service orientation through oversight of communications and assessments of employee quality of service with the Executive Recruitment process stakeholders. • Will supervise recruitment coordinator on logistic preparations to ensure that “Red Carpet” site-visit standards are maintained and delivered at all times. • Directs the development of strategic recruitment initiatives for Hunt School of Nursing, Graduate School of Biomedical Sciences, Foster School of Medicine, and the Hunt School of Dental Medicine. • Supervises all facets of interview site visits, including but not limited to travel arrangements, interview schedules, community tours, recruitment luncheons/dinners and miscellaneous activities and literary preparations for faculty candidates and spouses. • Manages databases (Kenexa, SOAR, etc.) of all faculty recruitment searches or projects. • Screens and verifies candidates background and credentials according to predetermined criteria and policies and forwards eligible candidate materials to recruiting department. • Develops written training materials, guides and presentations to assist departments and faculty candidates through the recruitment process from sourcing, to the formal letter of offer and contract Fulfills administrative and supervisory requirements for designated subordinates, including processing of administrative leave forms, time sheets, additional compensation, EPAFs, vacation and leave requests, performance evaluations, performance management counseling, etc. • Provides training to hiring departments on recruitment policies and best practices • Establishes positive working relationships with leadership, faculty and department staff and provides customer service support and training on assigned functions. • Serves as Project Manager (PM) for at least one major project and assists in the execution of events or projects. • Remain current with all licensure, certifications, and mandatory compliances and trainings required for this position. • Adhere to all policies, procedures and practices (Regents Rules, TTUS, HSECEP OPs, etc.). • Personally, and consistently, demonstrate, display and act in accordance with Texas Tech Health El Paso’s Values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork). Preferred Qualifications: • Excellent written and oral communication skills. • Public speaking experience helpful. • Experience in healthcare field preferred. • Skills in presentation design preferred. • Preferred experience in graphic design software and experience with Adobe design software including Illustrator, Photoshop and Canva. • Supervisory experience is a plus.
Pay Statement: Compensation is commensurate upon the qualifications of the individual selected and budgetary guidelines of the hiring department, as well as the institutional pay plan. Required Qualifications: • Bachelor's degree in the area of specialization or closely related field plus four years of related administrative and technical experience • OR a combination of education and/or years of experience in the area of specialization or closely related field to equal a minimum of 8 years.
