Job Description:
Overview: This position supports the development of complex, multi-disciplinary proposals and statements of qualifications (SOQs). The Proposal Coordinator II collaborates closely with technical staff, marketing team members, and subconsultants to manage content, schedules, and deliverables for high-quality, compliant submissions. This role requires excellent organization, and time management skills, along with the ability to coordinate fast-paced proposal efforts independently. Responsibilities:
• Facilitate the proposal process
• Coordinate the preparation, development, and layout of SOQs and proposal documents from kickoff through final delivery, ensuring compliance with submission requirements
• Format documents and ensure brand compliance and proposal consistency
• Ensure proposals meet compliance requirements and align with evaluation criteria
• Manage content development with input from marketing, technical staff, and leadership
• Manage proposal schedules, maintain pursuit checklists, and ensure timely submission of all components
• Facilitate proposal kickoff and milestone meetings to maintain progress and accountability
• Support QA/QC processes to ensure high-quality, error-free deliverables
• Maintain and update proposal databases, libraries, boilerplate material, and template
• Conduct research and gather information from internal teams to support proposal content
• Track and manage multiple deadlines simultaneously, prioritizing tasks based on project needs
• Contribute to identifying proposal process improvements and content updates
Qualifications:
• Bachelor’s degree in English, Communications, Marketing, or related field preferred
• 4+ years of experience in a proposal coordination role, preferably in the AEC (Architecture, Engineering, and Construction) industry
• Proficiency in Adobe InDesign, Microsoft Word, PowerPoint, and Acrobat
• Strong writing, editing, and proofreading skills
• Excellent organizational skills and the ability to manage multiple concurrent deadlines
• Effective communicator with the ability to collaborate with technical and non-technical staff
• Dependable and flexible with a proactive, team-oriented approach
• Availability to work Monday – Friday, 8am – 5pm, with overtime as needed
