Job summary Practice Manager / Operations Manager
We are looking for an experienced, motivated and forward-thinking Practice Manager / Operations Manager to play a key role in the leadership and continued development of our GP practice.
This is an exciting opportunity for someone who can combine strong operational management with excellent people skills, ensuring the practice runs efficiently while maintaining high standards of patient care and service. You will work closely with the GP Partners and wider team, overseeing day-to-day operations, HR, finance, compliance, CQC, performance, patient access and service improvement.

Main duties of the job
As Practice Manager / Operations Manager, you will provide effective leadership and oversight of the practices day-to-day operations, ensuring that services run smoothly, efficiently and to a consistently high standard. You will work closely with the GP Partners and wider team to coordinate operational activity, resolve issues and ensure the practice is well organised and responsive to the needs of patients and staff.
You will have responsibility for overseeing staff and supporting a positive, professional and collaborative working environment. You will monitor practice performance, manage resources effectively and ensure that appropriate processes are in place to support safe, efficient and compliant services.
A key part of the role will be identifying areas where the practice can improve and taking the lead in implementing practical solutions. This may include reviewing existing systems and processes, improving patient access and experience, introducing new technology, supporting service development and managing organisational change.
You will also work with external organisations and healthcare partners where required, ensuring that the practice meets its contractual, governance and regulatory responsibilities. The role requires a hands-on, organised and solution-focused manager who can prioritise competing demands, make sound decisions and bring people with them through change.

Job PurposeTo provide strong, effective and proactive leadership of the practice's operational functions, ensuring the practice operates efficiently, safely, effectively and in accordance with NHS requirements, contractual obligations, legislation and regulatory standards.
The post holder will work closely with the GP Partners and wider practice team to develop and maintain high standards of patient care, staff performance, governance and operational delivery.
The successful candidate will take a hands-on approach to management, identifying problems, developing practical solutions and leading continuous improvement across the organisation.
Main Responsibilities1. Leadership and Practice Management
Provide effective day-to-day leadership and management of the practice.
Work closely with the GP Partners to deliver the practice's strategic objectives.
Ensure that operational priorities are clearly communicated and effectively implemented.
Develop a positive culture based on teamwork, accountability, respect and continuous improvement.
Act as a key point of contact for staff regarding operational matters.
Identify operational risks and take appropriate action to address them.
Ensure that decisions are implemented effectively and followed through.
Support the practice during periods of change, development and organisational growth.
Represent the practice professionally when dealing with external organisations and stakeholders.
2. Staff and Human Resources
Oversee recruitment, induction, training and development of practice staff.
Ensure appropriate staffing levels and effective workforce planning.
Manage staff performance, attendance, annual leave and other workforce matters.
Support managers and team leaders in dealing with staff issues.
Ensure employment policies and procedures are consistently applied.
Maintain appropriate staff records and ensure confidentiality.
Promote staff wellbeing and a supportive working environment.
Identify training requirements and support continuous professional development.
Manage disciplinary, grievance and capability processes where required, in conjunction with appropriate advice.
Ensure staff understand their roles, responsibilities and expected standards.
3. Finance and Resource Management Monitor expenditure and ensure resources are used efficiently.
Oversee appropriate financial and administrative controls.
Monitor income (including petty cash), expenditure, invoices and payments as required.
Support payroll and ensure relevant information is provided accurately and on time.
Identify opportunities to reduce unnecessary expenditure without compromising patient care or service quality. 4. Governance, Compliance and CQC
Ensure the practice maintains appropriate governance systems and processes.
Lead and coordinate preparation for CQC inspections and regulatory reviews.
Ensure practice policies and procedures are current, accessible and implemented.
Maintain appropriate evidence of compliance.
Monitor incidents, complaints, risks and significant events and ensure appropriate actions are completed.
Support the practice in meeting NHS contractual and regulatory requirements.
Ensure appropriate health and safety arrangements are maintained.
Ensure confidentiality, information governance and data protection requirements are followed.
Work with relevant staff to maintain appropriate infection prevention and control standards.
Ensure required audits and governance activities are completed and appropriately documented.
5. Quality Improvement Lead or support quality improvement projects.
Review existing processes and introduce improvements where appropriate.
Monitor outcomes and ensure agreed actions are completed.
Encourage staff to identify problems and suggest practical solutions.
Promote a culture where learning from incidents, complaints and feedback leads to improvement.
Support the implementation of new NHS initiatives and local requirements.
6. Patient Access and Experience
Monitor patient access and identify areas requiring improvement.
Work with the clinical and administrative teams to improve patient pathways.
Monitor patient feedback, complaints and concerns and ensure these are dealt with appropriately.
Ensure patients are treated fairly, respectfully and professionally.
Support the effective use of telephone, online and digital access systems.
Review demand and capacity and work with the team to develop appropriate solutions.
Ensure reasonable adjustments and appropriate support are considered for patients who require them.
Work to improve the overall patient experience while maintaining safe and sustainable services.
7.Contracts and NHS Requirements
Support the practice in meeting its NHS contractual responsibilities.
Monitor relevant contractual requirements, deadlines and performance indicators.

Keep up to date with relevant changes affecting primary care.

Oversee the effective management of practice premises.
Ensure the practice environment is safe, clean, welcoming and fit for purpose.
Coordinate maintenance, repairs and servicing requirements.
Ensure appropriate health and safety checks and risk assessments are undertaken.
Monitor equipment and facilities and arrange repairs or replacement where necessary.
Maintain appropriate arrangements for fire safety, security, infection control and business continuity.
Liaise with contractors and other relevant organisations.
9. Risk Management and Business Continuity
Maintain an effective practice risk management system.
Identify, assess and manage operational risks.
Ensure incidents are appropriately recorded, investigated and acted upon.
Maintain and regularly review business continuity and emergency plans.
Ensure appropriate contingency arrangements are in place for staffing, premises and service disruption.
Escalate significant risks to the GP Partners promptly.
10. Complaints and Patient Concerns
Oversee the practice complaints process.
Ensure complaints are acknowledged, investigated and responded to within appropriate timescales.
Work with relevant staff to establish facts and identify learning.
Ensure lessons from complaints are communicated and acted upon.
Maintain appropriate records of complaints and associated actions.
Support a culture of openness and learning rather than blame.
11. Communication and Stakeholder Management
Maintain effective communication between GP Partners, clinicians, administrative staff and other members of the practice team.
Organise and support appropriate practice meetings.
Ensure important information is communicated clearly and promptly.
Liaise with the ICB, LMC, NHS organisations, community services and other external stakeholders as required.
Develop positive working relationships with external providers and suppliers.
Represent the practice professionally at meetings and events.
12. Team Development
Encourage effective teamwork across all practice departments.
Support staff to understand how their individual roles contribute to the overall objectives of the practice.
