Job summary
Chrisp Street Health Centre is seeking a Senior HR Administrator / Office Assistant to join our friendly team working 3 days per week / 22.5 hours per week (not including the breaks).This is a 12-month fixed short-term maternity cover role, ideally starting from October.

About the Role:
The post holder will provide effective HR administration and day-to-day support to the Practice.
You will assist with recruitment, onboarding, staff records, absence and annual leave administration, training records and general HR processes, ensuring that information is accurate, up to date and handled confidentially. You will be the first point of contact for routine HR queries and will refer more complex matters to the Practice Manager.
You will work closely within a multidisciplinary team.

Main duties of the job
Providing day-to-day HR support and acting as a first point of contact for routine staff HR queries.Responsible for the recruitment and onboarding process, including advertisements, interviews, references, pre-employment checks and starter documentation.Maintaining accurate personnel records, HR systems and the Single Central Record.Completing and monitoring staff compliance checks, including DBS, GMC, NMC and mandatory training requirements.Managing and maintaining annual leave and sickness absence records, including calculating staff holiday entitlements.Supporting probationary reviews, appraisals and return-to-work processes.Maintaining staff training records.Providing relevant staff information to payroll/finance regarding starters, leavers, changes to hours, salary changes and absence.Supporting the administration and communication of existing HR policies and procedures, escalating complex or sensitive matters to the Practice Manager.Supporting the Practice Manager with general office administration, including stationery and supplies, food and refreshments orders, etc.Providing administrative support for Practice meetings, including arranging meetings, preparing agendas and minutes.Supporting the Practice Manager with staff events, training sessions and other Practice activities as required.Receiving, recording and managing patient complaints, including maintaining the complaints log, electronic files and supporting documentation and monitoring outstanding responses.
About us
Our Health Centre was purpose-built in 1987 and is owned and maintained by the Partners. It has 21 clinical rooms, plus a large educational room and undergraduate training room, and an administrative wing which provides office space for our administrators, secretaries, and managers.
The practice has a shared belief in the delivery of high quality, patient-centred, and evidence based health care. Patients interests are kept to the fore and there is a strong emphasis on continuity of care and a commitment to continue developing patient services. Every patient and their family are allocated to a named GP upon registration. They are encouraged to see that GP for their routine care, though we understand that on occasions a patient may wish to see a different doctor about specific problems.
We are part of the Poplar & Limehouse Health & Wellbeing Network, along with 3 other local practices, which formed in 2006 to work collectively and improve health care provision in areas such as heart disease and diabetic care.
We are also an Approved Training Practice for local GP training, for medical students from Barts & The Royal London.
Job description Job responsibilities
The Senior HR Administrator / Office Assistant will provide day-to-day HR and administrative support to the Practice Manager and HR Lead.
The role will have a strong focus on HR administration, including recruitment and onboarding, maintaining staff records, annual leave and sickness absence, staff compliance checks, training, probation and appraisal administration, payroll information and supporting employee relations processes.
The post holder will also provide practical office support, including organising office supplies and refreshments, assisting with meetings and staff events, maintaining an organised office environment and providing general administrative support to the Practice Manager.
The role will also support the administration of patient complaints and feedback, ensuring complaints are accurately recorded, acknowledged, monitored and appropriately filed, with complex or sensitive matters referred to the Practice Manager or relevant complaint lead.
The successful candidate will need to be organised, reliable, approachable and able to maintain a high level of confidentiality when handling sensitive staff and patient information. The role requires good communication and administrative skills, attention to detail and the ability to manage a varied workload while working within Practice policies and procedures.

Person Specification
Qualifications Essential
Previous HR/admin experience, strong organisational and communication skills, good attention to detail, ability to handle confidential information, manage competing priorities, maintain accurate records, and support recruitment and day-to-day HR processes.
Desirable
Experience in an NHS/healthcare setting, knowledge of HR systems, DBS/GMC/NMC checks, CQC requirements, sickness and annual leave administration, employee relations support, and patient complaints administration.
