About this role

Qualifications MINIMUM QUALIFICATIONS:

• High School diploma or equivalent. • One (1) year of secretarial experience or two (2) years of post-secondary secretarial training. • Experience managing business/department functions. PREFERRED QUALIFICATIONS:

• Associate’s degree from an accredited institution. • Three (3) years of secretarial experience or two (2) years of post-secondary secretarial training.

Relevant work experience or education may be substituted to satisfy minimum qualifications. KNOWLEDGE, SKILLS, AND ABILITIES:

• Clear and concise oral and written communication skills; organizational and management skills; interpersonal skills. • Knowledge of general policies and procedures for the functional area of assignment. • Knowledge of HIPAA, Public Records, Sunshine Law, FERPA, and other laws/regulations related to student and employee privacy, public information, and records retention. • Knowledge of and experience with industry-standard equipment, materials, practices, computers, and applications. • Ability to professionally and effectively respond to customer needs and requests for service or assistance. • Ability to sit in one position performing routine tasks and viewing computer screens or other monitoring devices for prolonged periods of time. • Ability to work independently with little supervision. • Take and transcribe dictation of various types, including correspondence, minutes of meetings, reports, notices, and recommendations. • Use available technology to gather, organize, and compile data into usable forms. • Maintain a regular or electronic filing system as instructed. • Order and maintain supplies as needed. • Place, receive, route, and record calls using recognized telephone etiquette. • Perform bookkeeping and budgeting tasks associated with the position. • Schedule appointments, conferences, and meetings and keep appointment calendars for staff. • Confer with the administrator in carrying out the day-to-day operations necessary to the smooth functioning of the District. • Disseminate District memoranda outlining and explaining administrative policies and procedures; answer related internal and external questions within authority. • Perform Medicaid administrative claims reimbursable activities as directed in accordance with Chapter 3 of the federally approved School District Administrative Claiming (SDAC) Guide.
