Position Title: Instructional Aide (Online Test Proctor) Department: Division of Instruction Reports To: Virtual Learning Coordinator FLSA Status: Non-Exempt SUMMARY: Under direct supervision, provides instructional assistance to students and teachers in a virtual learning program, with primary responsibility for coordinating and monitoring online assessments. Supports students as they access testing and coursework, maintains accurate records, communicates testing concerns to instructional staff, and assists with family outreach and campus operations as assigned. The position is an instructional aide assignment and does not independently plan instruction or evaluate student performance. ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Hosts and actively monitors scheduled online testing sessions using district-approved video and assessment platforms; follows directions from instructional staff and established testing procedures.
• Assists with test check-in, student identity verification, camera and audio setup, and basic access problems; refers unresolved technical issues to appropriate personnel.
• Administers make-up assessments and other assigned tests; coordinates appointments, communicates testing instructions, and maintains attendance and completion records.
• Observes testing sessions for irregularities, documents objective facts, and promptly refers suspected academic integrity or security concerns to the teacher or administrator for review.
• Protects assessment materials, student information, and testing records in accordance with district procedures; limits access to authorized personnel.
• Provides individual or small-group support to students with navigating approved learning platforms and assignments, reinforcing directions and skills introduced by the teacher.
• Reviews assigned student progress and attendance lists to identify students needing teacher-directed support, make-up testing, or follow-up; communicates findings to instructional staff.
• Contacts students and families regarding testing schedules, attendance, enrollment steps, and assigned interventions; documents contacts and refers academic or sensitive concerns to the appropriate staff member.
• Assists with campus arrival and visitor procedures, greets and directs students, families, and visitors, and alerts administrators to concerns requiring attention.
• Maintains accurate spreadsheets, web forms, schedules, and reports using district-approved tools, including Microsoft 365 and Microsoft Teams.
• Prepares instructional and testing materials, signage, and notices; assists with testing cycles, student events, supply organization, copying, filing, and routine office equipment.
• Performs other duties as assigned by the Virtual Learning Coordinator or designee.
JOB SPECIFICATIONS EDUCATION and/or EXPERIENCE: High school diploma or equivalent. Meets district and applicable requirements for employment as an instructional aide. An associate degree, relevant college coursework, or qualifying assessment is preferred as applicable. Experience supporting students, administering assessments, or working in a school or virtual learning setting is preferred. Knowledge of student development and appropriate instructional support is desirable. Such alternatives to the above qualifications as the Board may find appropriate and acceptable. CERTIFICATES, LICENSES, REGISTRATIONS: As required for the instructional aide position by the District and applicable law. SUPERVISORY RESPONSIBILITIES: None. Monitors students and testing sessions as assigned; refers disciplinary and academic decisions to licensed staff or administration. LANGUAGE SKILLS: Ability to understand and follow written and oral directions, explain routine testing procedures clearly, document observations objectively, and communicate professionally with students, families, and staff. MATHEMATICAL SKILLS: Ability to perform basic calculations and accurately review, enter, and summarize attendance, schedules, and assessment completion data. REASONING ABILITY: Ability to apply established procedures consistently, recognize testing irregularities and student support needs, maintain confidentiality, and seek guidance when a matter requires professional judgment or an administrative decision. OTHER SKILLS and ABILITIES: Ability to use district-approved assessment and learning platforms, Microsoft Teams, Microsoft 365 applications, spreadsheets, and online forms. Ability to monitor multiple student video feeds attentively, manage competing tasks, provide basic technology assistance, and build effective working relationships with students, families, and staff. Knowledge of district safety, visitor, and student information procedures. Conditions of employment adjusted for part time employees or individuals who are hired for less than an entire school year.
