POSITION PURPOSE: The English Learner Enrollment Community Specialist will be expected to function as a contributing member of an overall team. Success in this position requires a high level of self-motivation, an embrace of challenging goals, and the ability to develop effective relationships with a wide variety of constituencies, including prospective students, their families, and community members. This position requires excellent customer services skill sets, a positive attitude as well as a bias for a high level of activity. KNOWLEDGE, SKILLS, AND ABILITIES
• A high level of oral and written Spanish and English skills is required. School, family, and/or service community job experiences preferred.
• Customer service skills are required for in-person, virtual, and phone.
• Intermediate level in Google Suites, particularly Google Sheets and other databases.
• Strong attention to detail, Data validation, and verification to ensure accurate information in our Databases.
• Efficient data input and organization.
• Ability to maintain data accuracy and consistency.
• Follow FERPA and HIPAA standards to ensure confidentiality with sensitive information.
• Fast and accurate typing.
• Dependability and consistency.

EDUCATION, TRAINING, AND EXPERIENCE
• Associate's Degree from an accredited institution in the field of secretarial science, human resources, public relations, office management, or another related field
• Any equivalent combination of training and experience that provides the required knowledge, skills and abilities
CERTIFICATION AND LICENSE REQUIREMENTS
• Must possess a valid driver's license issued by the NC Department of Motor Vehicles

ESSENTIAL DUTIES AND RESPONSIBILITIES
• Assist families with completing online enrollment for new students.
• Provide assistance to families with their lunch applications (online or paper)
• Provide health forms to all new families.
• Share information with parents about the ML program, testing, and services.
• Complete ML Students' Entry form, Home Language Survey, and Family Background profile when necessary.
• Send information to school personnel (ML teachers, principals, social workers, counselors, Data managers, and ML Program Manager).
• Collaborate/Advocate for families to receive supportive services when needed (from background profile interview) with MKV, nurses, social workers, data managers, counselors, and principals regarding families' individual concerns.
• Share community resources with families depending on their needs and situations (DSS, Medicaid, medical, employment, financial assistance, safety, etc.).
• Assist families in gathering accurate transcripts/report cards, and in reviewing each class (class description, times per week, hours per class, etc.), and send them to translation for further transcript analysis.
• Collaborate with staff (ML Secondary Specialist when needed regarding transcript information.
• Follow up with families who have not provided transcripts and communicate with school counselors about the process.
• Explain the custody process to families (for students moving to live with guardians or unaccompanied youth).
• Gather custody documents and any other relevant documents to send to the student support services department, and send them to the appropriate department
• Collaborate with social workers regarding MKV.
• Administer state testing –add students to the AMS system and create tickets for testing.
• Score WIDA Screener assessments for speaking and writing.
ADMINISTRARTIVE DUTIES-MANAGE/ADD STUDENT RECORDS
• Create, maintain, and enter all information into the ML spreadsheet, and follow up on information, including score reports, MKV, school assignments, AOR, custody, etc.
• Enter new information into the Custody spreadsheet and, transcript analysis spreadsheet.
• Check Infinite Campus and the ML databases for any available scores.
• Request scores from students' prior schools, add them to spreadsheets, and share with school personnel and the ML Program Data Manager.
• Constantly monitor spreadsheets and databases for accuracy. Collaborate with the ML Program
• Data Manager regarding discrepancies.
• Creation and distribution of ML students' files (Green folders)
• Review the district's spreadsheets to identify new enrollments.
• Follow up with families, explaining the process, and send the necessary documents via email (AOR, custody, health, testing, etc.).
• Collaborate with the technology testing department. for updates on testing computers or issues that may arise.
ADDITIONAL DUTIES
• Provide support to four district Spanish Interpreter-Translators.
• Share interpreter contact information with new families in need (school and district interpreter-translators).
• Any additional duties assigned by the program director.
