Purpose: Coordinate with bank officials regarding payroll matters, prepare bank assignment letters, and manage new pay card openings as required Occupational Health & Safety and Environment Accountability: Are accountable for their acts and omissions. Responsibility: To follow agreed safe systems of work; to follow training and instructions; and to report accidents, incidents and near misses. Authority: To stop work if they think the work is unsafe.
Responsibilities/Communication/OHSE Key Roles & Responsibilities • Organize and execute all payroll functions efficiently and consistently, adhering to established operating procedures and company policies to ensure smooth payroll operations. • Plan, develop, and optimize payroll processes by identifying opportunities for improvements, ensuring that all processes are streamlined and aligned with organizational goals. • Run retroactive payrolls and make necessary adjustments before the final processing, ensuring accuracy and compliance with company policies. • Execute the final payroll processing and securely upload files for online bank transfers, ensuring timely and accurate payment of all salaries and allowances. • Perform troubleshooting tasks, such as error checking and validation, to ensure that payroll is processed accurately, and any issues are resolved promptly. • Reconcile payroll reports to ensure data accuracy, consistency, and alignment with financial records, mitigating any discrepancies. • Collaborate closely with the HCM team to set up, design, conduct User Acceptance Testing (UAT), and finalize new payroll elements, ensuring successful implementation and integration. • Serve as the final signatory for payroll elements checks, ensuring all payroll components are thoroughly reviewed and approved before processing. • Manage and maintain payroll systems by ensuring data integrity, compliance with company policies, and alignment with legal requirements. • Conduct pre- and post-processing payroll audits to verify accuracy, ensure compliance, and complete overall reconciliation of payroll data. • Perform quality checks and self-audits on salary changes by comparing current data with historical records to ensure consistency and correctness. • Ensure timely payment of monthly payroll, including verification of allowances, benefits, and deductions, maintaining accuracy and compliance with all regulations. • Ensure compliance with federal, state, and local payroll laws and regulations by staying updated on relevant legislation and applying this knowledge to payroll processes. • Research and resolve payroll processing issues, including discrepancies in checks, reports, and files, ensuring prompt resolution and continuity of operations. • Address and resolve payroll-related inquiries and discrepancies from employees and other stakeholders, providing accurate information and effective solutions. • Thoroughly review and finalize Full and Final EOS Settlements to ensure accurate calculation of gratuity, leave pay, and other related elements, in compliance with company policies. • Support team members by sharing knowledge, providing guidance, and ensuring effective knowledge transfer within the team to maintain operational continuity. • Guide the team in troubleshooting and resolving payroll-related issues, ensuring that all problems are addressed efficiently and effectively. • Optimize payroll processes to ensure efficient service delivery to all employees, continuously improving the payroll function to enhance employee satisfaction. • Perform data collection and analysis in response to payroll-related inquiries, ensuring accurate and data-driven decision-making. • Perform other job-related duties as assigned.
Minimum Qualification/Experiences/Skills Education & Professional Qualification: Bachelors degree Professional Experience: Min of 5 years in a similar position Geographic Experience: GCC experience is preferred Computer Skills: Oracle/ Excel knowledge Language Skills: English Market/Industry/Functional Knowledge: All Payroll related functions Trouble shoot queries Payroll audits
