*Full-time Receptionist/Secretary*
*Position: *Full-time Receptionist/Secretary - Elgin Roman Catholic Family of Parishes
*Primary Work Location: *20 Morrison Dr., St. Thomas, ON
*Commitment: *35 hours per week. Standard working hours will be Monday to Friday from 8:30 a.m. to 4:00 p.m. (30 minute unpaid lunch per day). Periodic variations in the schedule may be required to meet business needs.
*Compensation: *Expected salary range: $21.00 - $23.00 per hour. Placement within this range is commensurate with relevant industry experience, qualifications (education, skills) and/or professional designations. This position is eligible for participation in the DOL?s lay staff benefits and pension plans. Three (3) weeks of paid vacation annually.

*Availability*: The position will become vacant the first week of November, 2026. The anticipated start date is early October to provide the successful candidate with approximately one month of training and transition support before assuming the role independently.
*POSITION SUMMARY:*
Reporting to the Business Manager, the Receptionist/Secretary is responsible for professionally and courteously greeting all who contact the office, either in person, by phone or email. This position is responsible for completing administrative based functions such as ensuring accurate and timely data entry, records maintenance, supply inventories, and event bookings.
*SUMMARY OF DUTIES:*
· Provide in-person, online, and telephone reception services, including greeting visitors, responding to inquiries, and directing calls and visitors to the appropriate individual.
· Prepare and print bi-weekly bulletins and quarterly newsletters for the Family of Parishes.
· Maintain the parish website, update event information, and create promotional materials and banners.
· Process Mass requests and accurately record associated information.
· Respond to inquiries regarding sacraments, parish programs, events, and services within the Family of Parishes.
· Maintain accurate parish and sacramental records, including registrations, parish registers, DDMS updates, and the preparation of Baptismal and Confirmation certificates.
· Receive deliveries and collect, sort, and distribute mail as required.
· Coordinate with custodial staff regarding event setup and takedown in parish churches and halls.
· Schedule and book meeting rooms for staff and parish groups.
· Monitor and maintain inventories of office supplies, liturgical supplies, and parish forms, and order materials as required.
· Maintain organized parish filing systems for records, programs, and other parish information.
· Provide photocopying and administrative support for clergy, parish staff, volunteers, parish groups, and walk-in requests.
· Liaise with elementary and secondary schools regarding parish and sacramental programs and activities.
· Provide funeral administration support, including communication with funeral homes, family representatives, and luncheon providers.
· Perform other duties of a similar nature as assigned.
*QUALIFICATIONS AND REQUIREMENTS:*
· College diploma in Business, Office Administration or a related field of study and/or equivalent direct experience in this field.
· Minimum of 2 years of experience in a professional administrative environment.
· Excellent professional verbal and written communication skills.
· Prior proven experience providing effective and welcoming customer service.
· Strong organizational skills with the ability to effectively multi-task, prioritize and meet deadlines.
· Highly proficient in Microsoft 365 and Office Suite (Word, Excel, Outlook, PowerPoint), applied knowledge of Canva and/or other publishing programs.
