Luck Stone is looking to hire a Business Specialist to provide hands-on support to leaders and teams across the organization. This role owns project coordination, manages competing priorities, prepares materials for meetings and presentations, and keeps communication flowing between teams, vendors, and external partners. Day to day, the Business Specialist handles everything from risk assessment, contractor verification, leads our hauler contracting program correspondence, and uses innovative technology to support their team. At Luck Stone, our Business Specialists are essential to everything we do.
Essential Functions
50% of Job – Project Coordination
• Take ownership to communicate and follow through on special projects. Provide Manager with regular updates on the progress and actions taken. Ensure deadlines are met and important meetings are attended.
• Identifies resource requirements (ex: time, budget, and personnel) for basic projects.
• Conduct research, compile data, and prepare presentations for review and presentations.
• Consistently follows up with team members, vendors, and others.
• Proactively identify and analyze problems, generating alternative solutions and making decisions on choices with some supervision
• Use intuition and knowledge to anticipate the needs of the Manager for meetings, events, external functions, and day-to-day.
• Use and proficiency of current technology, including software and social media, is necessary. Should be able to troubleshoot and support conference room AV, to include arranging technology support for conference calls, Teams calls, document sharing calls. BSS will work closely with the IT department on technology-related subjects such as: system upgrades, different software, improved software, photo software.
50% of Job - Administrative
• Perform general office duties, including but not limited to: Maintain and understand the Manager's calendar to anticipate needs and determine the information and/or materials that will be required, travel planning, and communication with associates in the company, customers, family, and organizations where the manager holds board or committee positions. Anticipate and proactively resolve conflicts independently.
• Prepare, read, and analyze e-mails, memos, spreadsheets, reports, and other documents. Review finished materials and dictations for completeness, accuracy, and format, and distribute to the appropriate individuals. Maintain confidentiality when required.
• Open, review and sort by importance and category all incoming email/mail. Segregate important matters for immediate attention. Monitor emails for actions required, valuable information such as meetings and keep the Manager and team fully informed, promptly print reply to emails if needed. Communicate on behalf of your manager on routine matters.
• Answer the telephone promptly and professionally. Screen incoming telephone calls take accurate messages and promptly relay them. Arrange telephone and conference calls as requested.
• Maintain accurate and current contact records, including telephone listings, directories and addresses, email addresses, mobile and fax numbers.
• Interact comfortably with customers and partners. Also maintains successful business relationships.
• Identifies gaps in basic business processes and works with support partners to find solutions.
• Ensure that other administrative tasks are done effectively and efficiently. These include expense reimbursement reporting, travel itineraries, catering for meetings, screening or redirecting inquiries, greeting visitors, letter writing, and running errands.
Minimum Requirements
Education: High School Diploma or GED; College degree preferred
Work Experience:
5+ years of experience in process management
5+ years of experience in risk management
Technical Competencies:
• High competence in Microsoft Office.
• Project coordination.
• Executive email and calendar management.
• Budget and P-card management.
