Essential Job Duties The following duties are considered essential job functions, meaning they are fundamental to the position and performed with or without reasonable accommodation.
• Answer and direct incoming calls on the main company phone system.
• Use Microsoft teams to route calls and messages to appropriate parties.
• Coordinate daily mail pickup, sorting, and distribution.
• Receive, track, and distribute UPS and other courier packages.
• Manage office supply inventory and place orders for essential items, including paper, pens, toilet paper, paper towels, and other workplace supplies.
• Maintain records, files, and documentation in an organized and accurate manner.
• Coordinate and support company events, celebrations and employee recognition activities
• Process and track charitable donations and related payments.
• Provide administrative support for employee committees, including scheduling meetings, preparing materials, and maintaining records.
• Manage employee committee inventory, including tracking, organizing, ordering, and distributing committee supplies and materials.
• Assist with the planning, coordination, and execution of company events and employee activities.
• Purchase supplies, decorations, food, gifts, and other materials needed for company events and programs.
• Coordinate event logistics, vendor communications, and on-site support to ensure successful events.
• Support day-to-day office operations and assist with special projects as assigned.
Physical Demands
• Regularly sit, stand, walk, bend, and reach throughout the workday.
• Frequently use a computer, telephone, copier, and other standard office equipment.
• Lift, carry, and move office supplies, packages, event materials, and inventory weighing up to 25 pounds.
• Occasionally assist with setup, organization, and cleanup for meetings, employee events, and company functions.
• Travel throughout the facility to distribute mail, packages, and supplies.
Qualification and Educational Requirements
• High school diploma or equivalent required.
• One to three years of administrative, office support, receptionist, or customer service experience preferred.
• Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
• Strong organizational, time management, and multitasking skills.
• Excellent verbal and written communication skills.
• Ability to maintain accurate records and handle confidential information with discretion.
• Experience coordinating events, managing inventory, and working with vendors is preferred.
• Strong attention to detail and commitment to customer service.
• Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
Work Schedule / Availability
• Monday – Friday 8:00AM – 4:30PM
Work Environment
• Office/Manufacturing: This role primarily operates in an office setting with moderate exposure to noise, fumes, and varying temperatures while on the plant floor.
