JOB DESCRIPTION SUMMARY The Property Administration/Resident Experience Coordinator provides administrative and operational support to the Property Management team, ensuring the smooth day-to-day operation of residential (and mixed-use) properties, while also delivering effective, knowledgeable customer service to prospective residents, current residents, and property staff. This role acts as a key point of contact for residents, vendors, and internal team members, supporting leasing, maintenance coordination, and financial administration. In addition, the role assists property staff with the planning and implementation of resident activities, promoting a quality living experience and fostering strong, positive relationships throughout the community. JOB DESCRIPTION

KEY RESPONSIBILITIES:

• Provide day-to-day administrative support to the Property Management Team.

• Maintain organized digital and physical property records.

• Track deadlines related to notices, renewals, inspections, and compliance.

• Assist with lease documentation, renewals, addendums, notices, and move-in/move-outs.

• Maintain accurate tenant files and lease records in property management software.

• Support enforcement of lease terms and building policies (e.g., non-smoking, noise, use of premises, etc.).

• Prepare and distribute resident notices.

• Assist with processing invoices, purchase orders, and service contracts.

• Track expenses and support budget reporting.

• Assist with rent roll updates and administrative reporting as required.

• Assists with Monthly Financial Reporting.

• Coordinates all resident functions and activities including orienting residents to the property, as well as assists with utility set-up and deliverance of packages and package claim reminders.

• Develops and publishes property newsletter, which includes planned events, resident services, and advertisements.

• Handles resident issues, including neighbor disputes, maintenance repairs, and resident requests. Prepares incident reports pertaining specifically to resident issues, in accordance with Company standards.

• Schedules activity center or clubhouse rentals maintains the contract on any such rental, and collects applicable fees. Ensures guest suites are in rental condition and provides additional amenities to residents, such as movie rentals, books, and games.

• Processes work orders for the maintenance department, ensures they are completed timely and accurately, and contacts the resident to determine if they are satisfied with the work completed. Prepares weekly maintenance report to verify resident requests are being completed.

• Inspects buildings and grounds to ensure safety and cleanliness, and alerts maintenance to items that need to be repaired.

BASIC KNOWLEDGE & QUALIFICATIONS:

• 1-3 years of experience in residential property management or administrative support.

• Post-secondary education in business, real estate, or property management preferred.

• Experience with property management software (Yardi, RentCafe, or similar) preferred.

• Strong organizational skills with attention to detail.

• Excellent written and verbal communication skills.

• Ability to manage multiple priorities in a fast-paced environment.

• Demonstrated ability to read, write, and communicate effectively to prepare and explain data to team members.

• Demonstrated proficiency in word processing, spreadsheet, property management, and database management programs in order to complete required reports.

• Demonstrated mathematical skills necessary to add, subtract, multiply, and divide numbers, decimals, and fractions, and calculate percentages in order to complete financial records, budgets, and other fiscal reporting information.

TRAVEL / PHYSICAL DEMANDS:

• Rare or occasional travel may be required to attend business meetings, training programs, or other situations necessary for the accomplishment of some or all of the daily responsibilities of this position.

• Incumbents must be able to view computer screens and other electronic equipment, paper reports, and journals for extended periods of time where visual strain may result.

• Incumbents must be able to push, pull, lift, carry, or maneuver weights of up to 4.5 kilrograms independently and 11.4 kilograms with assistance.

• Must be able to work a flexible work schedule, which may include weekends and/or holidays.

This posting is for a backfill.

The salary range for this position is $55,000- $65,000 CAD.

Additional Compensation: Many factors go into determining employee pay within the posted range including business requirements, prior experience, current skills and geographical location.

• Corporate Positions: In addition to the base salary, this role may be eligible to participate in a quarterly or annual bonus program based on individual and company performance. • Onsite Property Positions: In addition to the base salary, this role may be eligible to participate in weekly, monthly, and/or quarterly bonus programs.
