We are looking for an enthusiastic and organised Booking Administrator to join the Lung Cancer Screening Programme (LCSP) team at Maidstone and Tunbridge Wells NHS Trust.

This is an exciting opportunity to support a developing screening programme aimed at improving the early diagnosis of lung cancer across West Kent. The post holder will play an important role in coordinating appointments, managing patient communications, maintaining accurate records and supporting patients through the screening pathway.

The successful candidate will work closely with the Programme Manager, Lung Health Check Nurses, GP practices and wider cancer services to ensure the smooth and efficient delivery of the programme. Excellent communication, organisational and IT skills are essential, together with the ability to work sensitively with patients and manage competing priorities within a busy administrative environment.

This is a secondment position aligned to national programme funding.

Main duties of the job

o Invite eligible participants to attend Lung Health Check appointments in line with programme protocols and national guidance.

o Book, amend and cancel appointments, ensuring patient pathways are managed efficiently and accurately.

o Maintain accurate and up-to-date patient records on Trust systems and screening databases, including recording outcomes, attendance and follow-up actions.

o Manage the programme helpline, responding to patient and public enquiries in a professional, sensitive and timely manner.

o Provide administrative support to the Lung Cancer Screening Programme team, including preparation of correspondence, reports, data summaries and meeting documentation.

o Work closely with Lung Health Check Nurses, GP practices, respiratory teams and wider cancer services to support effective pathway coordination.

o Monitor shared inboxes and ensure correspondence and queries are actioned appropriately within agreed timescales.

o Support patient engagement and uptake by proactively contacting patients regarding appointments and non-attendance.

o Maintain confidentiality at all times and comply with Trust information governance and data protection requirements.

o Contribute to service improvement initiatives, audits and data collection activities as required.

o Provide cross-cover and administrative support across the service where necessary.

Person Specification

Qualifications Essential

5 GCSEs (Grade 4/C or above) including English and Maths or equivalent NVQ Level 3 in Administration (or equivalent qualification /experience)

Desirable

A levels IT qualifications (E.g. ECDL or equivalent)

Experience / Knowledge Essential

Previous experience in an administrative role, preferably within a healthcare setting. Experience communicating with patients, members of the public and multidisciplinary teams Experience handling confidential and sensitive information appropriately Good working knowledge of Microsoft Office applicatons, including Word, Excel and Outlook Experience maintaining accurate electronic records or databases Ability to organise and prioritise workload effectively within a busy environment

Desirable

Previous healthcare experience Experience using patient administration systems (PAS) or clinical databases such as Infoflex. Experience working within a screening programme, cancer service or patient pathway environment. Understanding of NHS cancer pathways or waiting time standards

Skills Essential

Ability to communicae effectively in writing and verbally Ability to manage telephone and email enquiries professionally Accurate keyborad and data entry skills Ability to work independently and as part of a team. Ability to maintain attention to detail when managing patient information Ability to manage competing priorities and meet deadlines

Desirable

Experience using electronic document management or scanning systems.
