About this role

Job summary

We are looking to recruit a qualified and experienced administrator with excellent interpersonal, organisational and computer skills to join our services open to carers, family and patients who are received care from Farleigh Hospice. This exciting role includes providing administration support for a team of professionals and volunteers, handling sensitive calls, providing support and advice, and supporting volunteers in their work.

Main duties of the job

You will be an approachable and compassionate person who enjoys working with people and is able to respond sensitively to individuals experiencing difficult or emotional circumstances. You will be organised, adaptable and able to work both independently and collaboratively as part of a multidisciplinary team, with a commitment to Farleigh Hospices values and person-centred approach.

You will have excellent communication and listening skills, with the ability to respond to queries and concerns sensitively and professionally. You will have strong organisational and time-management skills, accurate record-keeping and good IT skills, including Microsoft Office. Previous administrative experience is essential, alongside the ability to prioritise your workload, use your own initiative and communicate clearly in writing and in person. Experience of working within healthcare or wellbeing would be an advantage.

Job description Job responsibilities

In liaison with the Head of Psychological Wellbeing Services develop, maintain and co-ordinate office activities

Develop office systems to ensure smooth running of the service

Be the first point of contact for the Psychological and wellbeing service

Accept any correspondence or communication into the service, and respond in line with process

Support in the organisation and planning of events in the Psychological and Wellbeing service

Review referrals as they are received and then pass on to relevant part of the service

Be the first point of contact the Psychological and wellbeing service

Main responsibilities

This role provides a comprehensive, efficient, and confidential secretarial and administrative service by organising the Psychological and wellbeing service on a day-to-day basis

This role works closely with other Office Co-ordinators to ensure there is office cover and services run effectively

The ability to adapt to the various needs of people who are contacting the service, with effective listening, negotiation, talking over the telephone, email and face to face is very important as the post holder will be dealing directly with clients and relatives as well as liaising with volunteers, other staff and services

Experience Essential

Recent experience in the use of Windows based applications- word, power point, outlook etc. Recent previous experience as an administrator/secretary Experience of dealing with queries and concerns in a sensitive manner Experience of working in a similar setting/with similar client group Effective and sensitive oral/written communication and interpersonal skills Experience of ordering equipment / materials Experience of organising events Experience & knowledge of the needs of children and families at different developmental stages

Skills/Ability/Knowledge Essential

Excellent Listening skills Good time management skills and ability to prioritise workload Accurate record keeping Can demonstrate ability to write clear and concise letters / emails Work well within a multi-professional setting Can demonstrate ability to work independently using own initiative

Qualifications Essential

RSA 3 or equivalent experience Good standard of education including GCSE English language, mathematics, grade A-C or equivalent

Desirable

Customer Care in Healthcare Training/certificate in wellbeing support/experience
