Job summary
The post-holder provides support to our clinicians in the receipt and preparation of repeat prescriptions for our patients. They will also provide general assistance to the Practice team and is expected to project a positive and friendly image to patients and other visitors at all times. Additionally, they will have opportunities to support the practice clinical team in areas of safe prescribing, performance, clinical governance, data quality, information analysis and reporting and maximise the practices use of technology to provide an efficient cost-effective level of service.
Main duties of the job
Duties will include co-ordinating and preparing repeat prescriptions for our patients, data entry onto patient records, EPS and patient and pharmacy liaison.
Monitor repeat prescription requests to ensure that patients attend medication reviews and other health checks
Comply with the requirements and accepted guidance on professional practice, and with safe systems of work for re-authorising repeat prescriptions
Liaise with pharmacies on the supply of prescribed drugs, alert our clinicians of any supply issues and forward information on the recommended alternatives
Maintain accurate patient records promptly and quickly - entering data in accordance with reporting requirements
Build good working relationships with local pharmacies to help enable our prescription service
Create tasks and assist clinicians in managing document workflow relating to prescriptions
Establish and maintain filing and administrative systems so that written or computerised information is easily accessible and secure
Escalate any problems to the Practice Manager that you need support with
Oversee the management of MHRA alerts and provide administrative assistance for actions taken in response to MHRA alerts, Central Alerting System alerts, local or national clinical guidance and in accordance with the Yellow Card scheme
Provide administrative support for QOF and CQC searches.
Deal with patient queries by phone, in person or using digital consultation tools

Prescriptions Management
Duties will include co-ordinating and preparing repeat prescriptions for our patients, data entry onto patient records, EPS and patient and pharmacy liaison. The tasks and responsibilities to be undertaken may include any or all of the items in the following lists, dependent on current and evolving practice workload and staffing levels:
Work with our prescribers to provide a responsive repeat prescription service and ensure errors are minimised
Monitor repeat prescription requests to ensure that patients attend medication reviews and other health checks

Patient Services / Front of House Administration
Welcome, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way
Deal with patient queries by phone, in person or using digital consultation tools
Use judgement and communication skills to ensure that patients with no prior appointment but needing urgent consultation are seen in a logical and non-disruptive manner
Explain Practice arrangements and formal requirements to new patients and those seeking temporary medical cover and ensure procedures are completed
Support effective systems for the smooth day-to-day running of the practice and good organisation of care across the interface between clinical services and patient administration
Other ad hoc tasks as required to ensure that the highest levels of customer service are delivered to patients and visitors of the Practice

Person Specification
Qualifications Essential
Experience of working as a Prescription Clerk or Pharmacy Assistant in primary Care or PCN A good understanding of Primary Care services and the NHS structure Knowledge of GDPR, confidentiality and safeguarding. Attention to detail An organised approach to work Excellent communication skills both written and verbal Able to work as part of a team and independently Experience of working in a Primary Care setting Experience of using SystmOne or other Clinical system Experience supporting audits and quality improvement initiatives Experience dealing with patient queries and providing advice within scope of practice
