Role Description:
This role serves as the primary first point of contact for NewSpring Church, shaping the first impression across every guest touchpoint—whether in person, over the phone, via email, or through digital platforms. People remember how they feel when they interact with us, and this role helps everyone—regardless of the medium—feel seen, cared for, and experience the love of Jesus. By leading physical and digital reception, managing multi-channel communications, and building a dedicated team of volunteers, this role sets the standard for warmth, responsiveness, and customer service excellence.
Primary Responsibilities:
• Cultivate a deep understanding of NewSpring's voice, tone, culture, and brand to align messaging across platforms.
• Understand NewSpring’s Growth Plan audiences, tailor content to the target reader/listener, and activate audiences in alignment with the Growth Plan.
• Monitor and answer all main phone lines across all campuses, routing calls to campus staff or support when necessary.
• Manage and oversee [email protected], campus-specific emails, and event-specific emails with high responsiveness and care.
• Monitor and engage with public feedback on Google Reviews, Apple Business Connect, Yelp, and any other local listing; drafting warm, helpful responses to positive reviews and escalating sensitive feedback appropriately.
• Respond to website inquiries and contact form submissions with timely and welcoming follow-up.
• Draft, schedule, and distribute internal staff communications weekly in accordance with the internal communication strategy.
• Build and lead a team of volunteers to help manage reception and customer service.
• Create and steward a warm, welcoming environment in the Reception Area so that all guests, volunteers, interns, and staff are seen, served, and connected.
• Connect guests and vendors to the appropriate staff member.
• Develop an after-hours strategy and an on-call team to provide connection to a pastor in identified urgent situations.
• Adhere to and encompass the qualities and characteristics required of NewSpring Church staff members, as defined by the Policies and Procedures Handbook.
Communications Additional Duties/Responsibilities:
• Receive packages, mail, and faxes, and distribute them to the appropriate staff member.
• Create "away" voicemail messages for the phone and door signs for holidays, training days, and any time the office is closed.
• Maintain the security devices in place at Reception.
• Maintain the order and cleanliness of the Reception area.
• Assist staff/volunteers with general office administrative tasks in common areas (i.e., postage, mail, deliveries, faxes, etc.)
• Additional projects and/or assignments as needed
Role Requirements:
• This role is full time 40 hours per week.
• A business administration, administrative studies, or communications degree is preferred.
• This role adheres to a standard schedule, knowing it may fluctuate at times & based on certain needs. Standard schedule is:
• Sunday: 8:15am to 1pm (remaining hours - equal to 40 hours total - offsite)
• Monday: 8:45am to 5pm
• Tuesday: 8:45am to 5pm
• Wednesday: 8:45am to 5pm
• Thursday: 8:45am to 5pm
