Provides administrative and clerical support for Department of Corrections programs, maintains office operations and the physical work environment, and prepares and distributes information, records, and reports for KDOC, staff, clients, and other stakeholders. Customer Service Enter program fees, non-program fees, test results, and client payments information into applicable systems and records Answer, screen, and route telephone calls; greet visitors; respond to routine questions in person, by phone, or in writing; and refer more difficult inquiries to an appropriate official or supervisor. Receive, sort, stamp, and distribute incoming mail and packages. Prepare documents, copies, and other routine clerical materials in support of program operations. Communicate with and direct vendors, contractors, and service personnel to appropriate locations for assigned work. Manage shared room calendars and assist staff and stakeholders with locating trainings, meetings and other program activities. Distribute bus passes, gift cards, and similar client-support items as requested, and maintain accurate distribution and inventory logs. Data Maintenance Record, maintain, and distribute statistical data related to departmental services, activities, and operations for KDOC and other stakeholders. Prepare, process, maintain, and distribute UA reports, daily receipt reports, and daily credit card deposit reports; record UA results in client files required databases; and ensure records are accurate, complete, and compliant with department policy. Maintain current program policies and update physical or maintained copies as revisions occur. Clerical and Program Support Compile daily UA lists and complete data entry and other support work for administrative reports used by leadership, intensive supervision officers, and program staff. Post and distribute program communications such as weekly job lead bulletins, staff listings, and similar materials, as assigned. Create intake folders, intake records, and other onboarding documentation for new clients. Audit, break down, scan, and prepare closed files and related documentation for digital retention and entry into appropriate systems. Receive client payments, verify accuracy, and prepare cash deposit reports. Receive, edit, prepare, and distribute program-related reports. Prepare purchase request forms and submit purchase orders for approval. Assist with office operational tasks such as payphone coin collection, cardboard recycling, service requests, Help Desk tickets, and print/copy meter reads, as applicable. Provide administrative coverage for program areas as needed and maintain flexibility to support office operations throughout the department. Minimum Qualifications: One year of experience in varied clerical and/or administrative support work. High school diploma or equivalent. Must be at least 21 years of age. Pass legal background check, Child and Adult Abuse & Neglect Central Registry checks, KCJIS Security Policy (fingerprint) check, and pre-employment screens. Must also meet the required conditions contained in KSA 65-516 and KAR 28-4-356. Per Sedgwick County Policy, this is a driving level position that requires a valid US driver’s license without restrictions and current proof of automobile insurance. Personal passenger vehicle for use (mileage reimbursement is provided by County). Preferred Qualifications: Two or more years of administrative support work.
