Job Description POSITION GENERAL SUMMARY Supports the management and administration of Landside Operations, covering operational/administrative coordination, financial planning, procurement, Duty Executive and manpower coordination, performance analysis and stakeholder management. Supports the Manager in planning, implementing and monitoring unit activities and initiatives, with operational support when required. ESSENTIAL POSITION FUNCTIONS Documentation and Administrative Support Prepare, review and coordinate operational reports, management/approval papers, procurement/tender documents, presentations and official correspondence. Consolidate information for reporting, meetings, audits, budget exercises and unit requirements. Monitor action items, submissions and matters requiring attention or decision. Support the Manager on operational, administrative and management matters. Financial Planning, Expenditure Monitoring and Data Analysis Assist in planning annual operating and capital expenditure requirements. Monitor expenditure against approved budgets, including utilisation, commitments, forecasts and variances. Coordinate expenditure reviews and update the Manager on budget status and requirements. Identify budget issues and recommend appropriate actions. Prepare financial analyses, cost estimates and cost-benefit analyses for procurement and management decisions. Analyse operational data including traffic, occupancy, service performance and incident trends. Analyse performance measures to support operational planning and improvement. Team Supervision and Duty Executive Coordination Lead Duty Executive arrangements to ensure adequate operational coverage. Liaise with the Administration Officer on attendance, leave, absences and manpower availability. Coordinate rosters, replacements and adjustments based on operational or manpower needs. Monitor Duty Executive performance, shift dynamics, manpower deployment, reporting and follow-up actions. Guide Duty Executives and review shift reports, incidents and recurring issues. Identify manpower or operational concerns and recommend improvements. Provide operational support when required. Procurement and Contract Coordination Assist the Manager in procurement planning and coordination, including preparation/review of scopes, technical requirements and procurement documentation. Monitor procurement timelines, submissions, evaluations, approvals and follow-up actions. Monitor contracts, work orders and service arrangements, including expenditure, deliverables, performance and timelines. Management and Unit Support Assist the Manager in planning, implementing and monitoring strategies, programmes, projects and improvement initiatives. Coordinate cross-functional matters and follow-up actions. Support management updates, presentations, proposals and recommendations. Identify operational gaps, resource needs and improvement opportunities. Lead assignments or initiatives as delegated. Other Duties Perform other responsibilities assigned by the superior within the scope of Landside Operations. Key Challenges Managing multiple responsibilities across operational coordination, financial management, procurement, administration and stakeholder engagement. Ensuring effective expenditure planning and budget utilisation while responding to changing operational requirements. Coordinating Duty Executive and manpower arrangements within a shift-based operational environment. Monitoring operational and team performance while ensuring appropriate follow-up of recurring issues and improvement requirements. Managing procurement activities and timelines while ensuring continuity of operational requirements. Skills Strong financial planning, budgeting and expenditure monitoring skills. Good knowledge of procurement processes and documentation. Strong analytical and problem-solving skills. Strong planning, organisational and coordination skills with the ability to manage multiple priorities. Good leadership and team management skills, particularly in a shift-based operational environment. Excellent written and verbal communication skills. Strong stakeholder management and interpersonal skills. Proficient in Microsoft Office and/or Google Workspace applications, particularly Excel/Sheets, PowerPoint/Slides and Word/Docs. Able to work independently, exercise sound judgement and adapt to changing operational requirements. Familiarity with airport operations, public transport, traffic management or landside operations is an added advantage.
