Job Description: The Procurement Coordination Specialist provides critical, onsite operational support embedded directly within the customer's environment. This role acts as the primary liaison between the customer's procurement needs and the internal buying team, managing the complex approval lifecycle and ensuring all procurement requests are accurately processed within the IFS ERP system.

What You’ll Do: • Core Responsibilities: • Purchasing & Procurement Support • End-to-End Procurement Support: Facilitate all purchasing processes, including requisitioning, tracking, receiving, and securing necessary BAE Systems Space & Mission Systems (SMS) and customer approvals. • RFQ Management: Oversee the Request for Quote (RFQ) process in strict accordance with current corporate policies. • Stakeholder Coordination: Provide timely, accurate information and agile support to requestors, customers, management, and buyers. • Issue Resolution: Troubleshoot and resolve complex purchasing discrepancies, including PO blocks, pricing variances, and vendor master data mismatches. • Workflow Administration: Administer procurement approval workflows, ensuring accurate routing based on the Delegation of Authority (DoA) limits. • Documentation Management: Generate and manage all required documentation and forms necessary for internal and external approvals. • Vendor & Security Compliance: Monitor vendor approval statuses and initiate requests; ensure all procurement activities adhere to customer security requirements and provide supporting documentation. • Receiving Support: Process all requisitions through customer logistics office providing all documentation required to complete procurement process.
• System Administration & Optimization: • Subject Matter Expertise: Serve as the SME for integrated purchasing processes across government and BAE Systems SMS workflows. • Process Improvement: Identify operational bottlenecks and inefficiencies, partnering with management to implement strategic process improvements. • Compliance Auditing: Conduct regular audits of purchasing data to ensure integrity, accuracy, and adherence to corporate procurement policies.
• User Enablement & Training: • Knowledge Management: Develop and maintain comprehensive functional documentation, "how-to" guides, and Standard Operating Procedures (SOPs). • Training Delivery: Design and facilitate targeted training sessions for team members on procurement system best practices. • Technical Support: Act as the primary point of contact for purchasing-related help desk tickets, providing expert guidance and timely resolution. • Continuity Planning: Establish and maintain cross-training and backup coverage for all critical duties to ensure operational continuity.
• Reporting & Analysis: • Data Reconciliation: Support reconciliation of procurement data to support mandatory customer reporting. • Financial Tracking: Maintain detailed logs of Other Direct Costs (ODC), tracking total expenditures against budget and contract values. • Performance Monitoring: Develop and manage procurement tracking tools to monitor requisition progress and provide real-time status updates. • Cross-Functional Collaboration: Partner with Finance and Accounts Payable to resolve "three-way match" exceptions (PO vs. Receipt vs. Invoice). • Property Support: Provide required data to property manager in a timely manner.

On-Site Work Environment: This position requires regular in-person engagement by working on-site five days each normally scheduled week in the primary work location. Travel and local commute between company campuses and other possible non-company locations may be required.
Working Conditions: • Work is performed in an office environment, laboratory, cleanroom, or production floor.
Required Skills and Education: • BS/BA in related field plus 4 or more years related experience. • Each higher-level degree, i.e., Master’s Degree or Ph.D., may substitute for two years of experience. Related technical experience may be considered in lieu of education. Degree must be from a university, college, or school which is accredited by an agency recognized by the US Secretary of Education, US Department of Education. • A current, active Top Secret/SCI security clearance is required. • Technical Proficiency: Deep expertise in ERP systems (e.g., SAP, Oracle, Microsoft Dynamics) with a specific focus on the Purchasing/Materials Management modules. • Knowledge: An understanding of procurement principles, supply chain logistics, and financial controls. • Skills: Exceptional problem-solving abilities, a methodical approach to troubleshooting, and the ability to communicate technical concepts to non-technical stakeholders. #LI-NP1As this position requires operating a company vehicle, an offer and subsequent employment are contingent upon possessing and maintaining a valid US driver's license and a satisfactory motor vehicle record review.
Preferred Skills and Education: • Technical Experience: Basic understanding of electronic systems and components. • Security Minded: Experience of property control measures typical in a government secure facility. • Customer-Facing Experience: Proven track record of working in an embedded or "onsite" capacity with external clients. • Stakeholder Management: Demonstrated experience navigating complex organizational hierarchies to secure multi-level approvals.
