Position Summary

We are seeking an enthusiastic Social Engagement Assistant to join our team, working collaboratively to enhance the planning, coordination, and delivery of community engagement initiatives.
Under the direction of the Acting Communications and Engagement Team Lead, the Social Engagement Assistant provides culturally informed support in implementing community engagement strategies and activities for community members of all ages. We are looking for a “people person” who can interact with anybody, building trust, consistency, and presence. This role involves developing and utilizing a variety of methods and tools—such as surveys, interviews, and community events—to collect qualitative and measurable input and feedback. Supporting the planning, coordination, and delivery of activities that help an organization build strong, positive relationships with the public.
This includes assisting with outreach, events, communications, and community interactions to ensure people feel informed, welcomed, and engaged. Collaboration with other departments is integral to ensuring that engagement efforts are well-coordinated, inclusive, and reflective of community needs and priorities.
This is a term position which expires March 31, 2027.
What You'll Do
Meeting and Event Coordination
• Compose and distribute communications for meetings, events, and related activities.
• Prepare and compile agendas, meeting packages, and presentation materials.
• Coordinate event logistics, including venue bookings, catering, audiovisual requirements, and event setup and teardown.
• Manage registration processes and track attendance.
• Record and coordinate timely pre- and post-event communications to support engagement, information sharing, and follow-through on action items.
Community Engagement and Outreach
• Serve as a visible representative of the organization in social media content, promotional materials, and community campaigns.
• Coordination assistance; supporting logistics for engagement meetings, workshops, or campaigns.
• Assist with the planning and delivery of engagement activities tailored to Seabird Island Community Members.
• Participate in community events to represent the organization, gather community input.
• Facilitate meaningful engagement with Community Members, ensuring their voices are reflected in planning and decision-making.
• Helping maintain positive connections with Community Members, partners, and stakeholders.
• Welcome and engage with Community Members, providing information about initiatives, programs, campaigns, and opportunities for involvement.
• Conduct door-to-door outreach to deliver invitations, surveys, newsletters, and other community communications, while fostering meaningful connections and gathering feedback from Community Members.
Data Collection and Analysis
• Develop and use tools such as surveys, questionnaires, and focus groups to collect feedback, documenting results and metrics.
• Maintain accurate records and databases of community feedback and engagement activities.
Collaboration and Relationship Building
• Foster effective working relationships with internal departments, partners, and stakeholders.
• Support collaboration across programs to ensure alignment with community needs and goals.
• Act as a liaison between Community Members and relevant departments or leadership.
Communications and Promotion
• Assist with the development and distribution of promotional materials (flyers, posters, social media content).
• Support the creation of presentations and briefings for internal and external audiences.
• Maintain engagement calendars and schedules to ensure smooth coordination of events and meetings. Administrative Support
• Provide general administrative support such as printing, filing, photocopying, and organizing.
• Maintain an inventory of supplies and items used for outreach activities.
• Support the preparation of reports and updates to supervisors or leadership.
What You Bring
• Experience in a related role, preferably with a strong background in community engagement, public outreach, or stakeholder relations.
• Post-secondary education or experience in Hospitality Management is considered an asset.
• Excellent verbal and written communication skills, with the ability to effectively engage diverse audiences. Demonstrated ability to build and maintain positive working relationships with community members, stakeholders, and colleagues.
• Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and Teams.
• Strong organizational and time-management skills, with the ability to manage multiple priorities in a fast-paced environment.
• Comfortable working independently and collaboratively as part of a team.
• Flexible and adaptable, with the ability to respond to changing priorities and community needs.
Preferred:
• Indigenous candidates are strongly encouraged to apply.
• Lived experience as a member of a First Nations community.
• Knowledge and understanding of Seabird Island’s culture, traditions, teachings, community dynamics.
• Ability to respond quickly and professionally to community or colleague needs and inquiries.
• Experience in group work with clients an asset.
• Experience with Client Intake process an asset.
• Experience working with Indigenous clients in crisis situations.
Cultural Competency:
• Ensure a trauma-informed lens is applied holistically.
• Experience working within Indigenous communities and applying culturally safe practices.
• Understanding of intergenerational trauma and its impacts on Indigenous peoples and communities.
