About this role
Are you an organized, detail-oriented individual passionate about keeping projects on track? We're seeking a Project Coordinator to join our Operations team and help drive success across our field service initiatives.
As a Project Coordinator, you'll work closely with Project Managers to support all phases of our projects - from planning and budgeting to execution and close-out. You’ll communicate with customers and internal teams, coordinate materials and schedules, manage documentation, and keep everything running smoothly.
What You'll Do:
Project Planning & Coordination
• Prepare and manage action plans, including schedules, budgets, and resources
• Attend site walks and project builds to gain first-hand knowledge of scope and process
• Create project folders and keep master trackers updated daily
• Submit estimates and project quotes to customers
• Coordinate subcontractors and ensure timely equipment/material delivery
Communication & Team Collaboration
• Communicate professionally via email, phone, and meetings (virtual or in-person)
• Serve as the liaison between field crews, subcontractors, and customers
• Lead problem-solving efforts and support project resolution
Field & Construction Support
• Provide field installation support and ensure crews have the necessary documents and materials
• Track progress, manage change orders, and schedule inspections
• Ensure timely permit applications and equipment deliveries
Close-Out & Reporting
• Complete project close-out tasks on time and with accuracy
• Submit all relevant documentation, packing lists, and invoices
• Maintain updated internal tracking software and project reports
What We’re Looking For:
Skills & Competencies
• Strong written and verbal communication skills
• Excellent time management, attention to detail, and problem-solving skills
• Proficient in Google Workspace, Microsoft 365, QuickBooks, and Adobe
• Ability to manage budgets, track expenses, and coordinate multiple moving parts
• Comfortable working both independently and as part of a team
• Leadership and mentorship potential for guiding junior staff
Education & Experience
• Bachelor’s degree preferred (but not required)
• No prior experience required training provided
• Project coordination or QuickBooks experience is a plus
Physical Requirements
• Ability to sit, stand, walk, lift (up to 50 lbs. regularly), and perform occasional physical activity
• Must be comfortable with on-site visits and field support as needed
