HR Administrative Assistant

Updates and maintains accurate employee information within the HRIS and other HR systems and assists with the preparation of reports, correspondence, forms, and other HR documentation. Provides administrative support for employee relations, safety programs, employee engagement initiatives, and other HR programs as assigned. Assists with coordinating HR activities and communicating information to employees, applicants, and leaders while maintaining confidentiality and professionalism. Works closely with Human Resources, Operations, Payroll, Benefits, Recruiting, and other departments to ensure HR processes are completed accurately and timely.
Position Responsibilities: • Provides administrative support for the Human Resources department and assists with day-to-day HR activities. Handles routine inquiries from associates, applicants, managers, and other internal customers. Answers questions within the scope of the position, resolves routine concerns, and directs questions or issues to the appropriate Human Resources representative for action. Requires the ability to communicate effectively and exercise professionalism, diplomacy, and tact when handling confidential and sensitive information. • Provides administrative support throughout the recruitment and pre-employment process. Assists with preparing position requisitions, coordinating employment advertising, scheduling interviews, communicating with applicants, and completing employment background checks and other pre-employment requirements. Maintains appropriate records and documentation in accordance with company procedures. • Coordinates and provides administrative support for new hire orientation and onboarding activities. Prepares new hire materials and ensures required employment forms and documentation are filed. • Maintains accurate and confidential personnel records and HR documentation. Organizes and physically and electronically maintains employee files, records, forms, and other confidential documents. Ensures original records and documentation are appropriately filed. • Updates and maintains employee information within the Human Resources Information System (HRIS) and other applicable systems. Processes routine employee data changes and verifies information for accuracy. Assists with maintaining accurate employee records related to job titles, departments, locations, pay rates, employment status, and other personnel information. • Provides administrative support for workers' compensation and safety-related processes as assigned. Assists with completing and maintaining required documentation. Assists with preparing safety materials, coordinating safety-related meetings, and maintaining related records. • Provides administrative support for employee programs and Human Resources initiatives. Assists with the communication regarding programs such as tuition assistance and the Employee Assistance Program (EAP). Coordinates and supports employee engagement activities, company events, charitable campaigns, recognition programs, and other HR initiatives as assigned. Assists with preparing communications, materials, sign-up forms, reports, and other documentation associated with these programs. • Prepares correspondence, reports, spreadsheets, forms, and other documents for the Human Resources department. Compiles information from various sources, enters and maintains data, and prepares routine reports and summaries as requested. Requires proficiency with computer systems and standard office applications, as well as appropriate attention to detail and accuracy when entering, reviewing, and reporting information. • Coordinates meetings, orientations, training activities, employee events, and other HR-related activities as assigned. Assists with scheduling, HR and Safety materials, communications, and other logistical details. Requires strong planning, organization, time-management, and attention-to-detail skills to ensure activities are completed accurately and timely. • Provides administrative support for Human Resources projects and initiatives. Assists with gathering information, maintaining project documentation, preparing communications and materials, tracking completion of assigned tasks, and coordinating with various departments and operating companies as needed. • Handles confidential and sensitive information in accordance with Company policies and procedures. Maintains confidentiality of employee, applicant, payroll, medical, benefits, and other Human Resources information. • Functions as a team member within the Human Resources department and organization, as required. Performs other administrative duties, special projects, and responsibilities as assigned to support the needs of the Human Resources department and the Company. • Complies with all Company policies, procedures, standards, and applicable laws and regulations. • Performs other related duties as assigned.

Required Qualifications: High School Diploma/GED or Equivalent Experience
6-12 months human resources or related area
Preferred Qualifications: High School Diploma/GED or Equivalent Experience
1-2 years human resources, business, or related area
MS Office certification
