About this role

Job summary

An opportunity has arisen for a fixed term 6 month position to work in the reception of Hummingbird house, home to the Harrogate & Ripon Community Treatment team.

Hummingbird House accommodates Adult Mental Health teams and CAMHS, the opportunity is within the adult reception team. Hummingbird House is situated in the centre of Harrogate Town, a short walk from local shops and amenities, as well as being located close to the central bus terminal and train station.

As a member of our Hummingbird House reception team you will be the first point of contact for patients, families, and visitors, you will play a vital role in creating a welcoming and supportive environment at the heart of the hospital. This is an opportunity to make a real difference by proving both practical assistance and a kind reassuring presence.

You must have the Right to Work in the UK in order to be successfully appointed to this role. Please note, this role does not meet the required eligibility criteria for sponsorship under the Skilled Worker visa and therefore the Trust is unable to offer sponsorship for this particular role.

Main duties of the job

The main duties will require you to greet service users, carers, and external partners face to face including answering queries via telephone in a professional and friendly manner. The role will involve managing incoming and outgoing post, room bookings, ordering supplies, logging calls with estates, dealing with prescriptions, petty cash, booking taxis or patient transport, arranging collection of pathology samples, and general office duties. The ability to remain calm, communicate clearly, adhere to confidentiality, and promote a positive culture for those living with mental health issues and/or learning disabilities.

The successful candidate will be expected to perform basic admin tasks, update clinic lists, maintain visitor logs, issue access cards, deal with incoming & outgoing post, photocopying and ensure that all information in the reception area for staff and the public is clearly displayed and updated as appropriate.

Our Trust is dedicated to supporting our colleagues in providing an excellent working environment and encourages everyone to share their progressive ideas. All staff have regular 1-2-1 supervisions and an annual appraisal, which provides lots of opportunity for celebration of achievements, and discussions around challenges, and your aspirations.

You will be required to work 7.5 hours shifts.. You will be fully supported by a welcoming team of admin and clinical staff and will not be lone working on the premises at any time. If successful you will be supplied with a job plan and a fully supported induction.

Person Specification

Qualifications Essential

BTEC Diploma/Level Level 2 qualification in relevant field OR equivalent experience, OR willingness to work towards Level 3 qualification in Business and Administration Key skills/functional skills in literacy and numeracy Level 2 OR O Level (Grade C and above/New GCSE in Maths and English (Grade 4 to 9) are an essential requirement to be fully competent in the role.

Experience Essential

Customer service experience Experience of general office duties. Data inputting experience.

Knowledge Essential

Working knowledge of Microsoft Office applications (Word, Excel and Outlook) Understanding of confidentiality and how to maintain this. Knowledge of office systems and processes. Knowledge of receiving visitors/telephone callers and taking accurate messages

Flexible in approach to supporting colleagues and the service. Courteous and sensitive to others needs or feelings To take responsibility for self and committed to continual personal development
