Job Title: Order Entry SpecialistJob DescriptionThe Order Entry Specialist plays a key role in managing customer orders, supporting accurate backlog and pricing, and maintaining strong relationships with customers and internal departments. This position focuses on entering and processing orders with precision, responding to customer inquiries and issues, and coordinating with various teams to ensure timely and accurate fulfillment. The role requires strong computer skills, attention to detail, and a commitment to providing excellent customer service in a fast-paced manufacturing environment.Responsibilities
• Develop a strong working rapport with a national customer base and serve as a reliable point of contact. • Work strategically with customers, peers, and leadership to support business objectives and customer satisfaction. • Review customer requests and prepare accurate quotes that match customer requirements and product specifications. • Follow up via email and phone to determine whether quotes have been won or lost and document outcomes. • Receive, review, and accurately enter customer orders into the system, ensuring all information is complete and correct. • Coordinate shipping details to meet customer expectations and required delivery timelines. • Collaborate effectively with Production Control, Manufacturing, Purchasing, Engineering, and Accounting throughout all phases of the quote and order process. • Monitor backlog and ensure order dates are accurate and up to date. • Support the maintenance of margins by product group through accurate pricing and order entry. • Handle customer inquiries, complaints, and issues promptly and professionally, working toward effective resolution. • Build and maintain positive relationships with all departments to facilitate smooth order processing and problem solving. • Apply and help enforce established policies and procedures related to order entry and customer service. • Monitor workload within the team and help ensure tasks are completed efficiently and on time. • Utilize pricing modules and tools to prepare and verify quotes and orders. • Review and resolve customer issues that may arise during quoting, ordering, or fulfillment. • Demonstrate a commitment to daily learning, continuous improvement, and giving 100% effort in all tasks. Essential Skills
• Strong computer skills with emphasis on Microsoft Excel and the Microsoft Office suite. • Ability to perform accurate data entry and order processing in a fast-paced environment. • Strong organizational skills and high attention to detail. • Ability to multitask effectively while managing multiple orders, inquiries, and deadlines. • Exceptional oral and written communication skills for interacting with customers and internal teams. • Excellent phone etiquette and professional customer service orientation. • Basic math skills, including comfort with some geometrical functions. • Ability to read and interpret basic blueprints is desired but not required. • Mechanical aptitude sufficient to understand product and service offerings. • Ability to build product and service knowledge over time. • High school diploma or equivalent, or comparable related experience. • Strong problem-solving skills and the ability to address customer and order-related issues. • Reliability, enthusiasm, self-confidence, and a positive attitude toward customers and colleagues. Additional Skills & Qualifications
• Previous experience with ERP systems is useful but not required. • Experience in order entry, order processing, order fulfillment, and inventory-related tasks. • Experience in customer service, call center, or sales support environments. • Familiarity with lead times, purchase orders, and dispatch activities is preferred. • Experience using RF scanners and handling clerical tasks such as mail sorting is beneficial. • Comfort with email communication and general office software. • College degree, community college coursework, or online classes and certificates are a plus but not required. • Ability to work effectively in a traditional manufacturing and warehouse setting. • Willingness to complete behavioral and cognitive assessments as part of the hiring process. Work EnvironmentThis role operates in an older building with a traditional manufacturing warehouse environment. The standard schedule is Monday through Friday from 7:00 a.m. to 4:30 p.m. The dress code is casual but neat, typically jeans and a nice shirt. You will work closely with office and production personnel, using Microsoft Office and other business systems to manage orders and communicate with customers and internal departments. As part of the selection process, candidates will complete an online behavioral assessment and a cognitive assessment. Job Type & LocationThis is a Contract to Hire position based out of Lodi, CA. Pay and BenefitsThe pay range for this position is $23.00 - $23.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
