General Description The Substitute School Receptionist provides front-office support and serves as a primary point of contact for students, parents, staff, visitors, and community members. The receptionist helps maintain an organized, welcoming, professional, and secure school office while providing clerical and administrative assistance to school staff. Essential Duties and Responsibilities
• Greets students, parents, staff, visitors, and community members in a courteous and professional manner.
• Answers and directs incoming telephone calls and takes messages as appropriate.
• Assists with visitor sign-in procedures and helps ensure established school safety and security procedures are followed.
• Directs visitors and parents to the appropriate staff member or location.
• Provides general information regarding school procedures, activities, schedules, and events.
• Assists students who report to the main office and contacts appropriate staff or parents when necessary.
• Provides clerical support including copying, filing, scanning, data entry, preparing correspondence, and maintaining records.
• Assists with attendance, student check-in/check-out, and related office procedures as assigned.
• Receives and distributes mail, deliveries, and other materials.
• Maintains an orderly and professional front-office and reception area.
• Maintains confidentiality of student, employee, and school information.
• Provides administrative support to the principal, school administrators, and office staff as assigned.
• Performs other duties as assigned based on the operational needs of the school.
Qualifications High school diploma or GED required. Previous receptionist, clerical, school-office, or customer-service experience preferred. Must demonstrate effective communication, organizational, interpersonal, and basic computer skills and be able to maintain confidentiality and professionalism when working with students, families, employees, and the public. Knowledge, Skills, and Abilities Must be able to communicate effectively; provide excellent customer service; manage multiple tasks and interruptions; use standard office equipment and computer applications; maintain accurate records; exercise discretion and sound judgment; and work effectively with students, parents, employees, and the public. Physical Requirements Work is primarily performed in a school office environment and may require periods of sitting, standing, walking, computer use, telephone use, and occasional lifting or moving of office materials. Terms of Employment Part-time work schedule, hourly rate, and length of employment shall be established by the School Board and administration in accordance with the approved classified compensation plan and the operational needs of the school division.
