Elementary Office Clerk Department: Building Office Reports To: Building Principal Classification: Support Staff – Elementary Office Clerk FLSA Status: Non-Exempt Schedule: 5.75 hours per day (continuous), 5 days per week, 193-195 days per school year Starting Wage: $16.50 per hour Position Summary The Elementary Office Clerk provides general clerical and office support to assist with the efficient daily operation of the school office. This position works alongside the building Administrative Assistant to provide supplemental office support; however, does not assume the primary administrative assistant duties. The Clerk works under the direction of the Building Principal. Essential Duties and Responsibilities The duties listed below are representative of the responsibilities of this position. General Office Support

• Greet students, parents, staff, visitors, and community members in a professional and welcoming manner.

• Follow visitor check-in procedures and the distribution of visitor passes in accordance with District safety procedures.

• Assist with telephone call questions and requests.

• Assist with general office duties including copying, scanning, filing, and mail distribution.

• Assist with preparing materials for school activities, events, registrations, and other building functions.

• Assist with Organizing and maintaining office supplies, materials, copiers and building work room supplies.

• Receive and distribute deliveries and packages.

• Assist with correspondence and communications as directed.

• Perform basic data entry and clerical tasks using District systems and software.

• Assist in maintaining an organized and professional office environment.

• Maintain confidentiality of student, employee, and District information.

• May fill in for the Administrative Assistant in their absence, but not required.

• Assist with routine office coverage during the scheduled workday.

• Maintain regular and predictable attendance.

• Other related duties may be assigned as needed within the scope of this position.

• Follow all District policies, procedures, safety requirements, and confidentiality expectations.

Student and Parent Support

• Provide support to students and parents who report to the office, including student sign in and sign out.

• Provide office support upon student arrival or dismissal times.

• Assist with storing, documenting, and dispensing student medications in accordance with District policies, procedures, and student care plans.

• Assist with distributing student materials, notices, and other communications.

• Assist with basic supervision of students who are temporarily waiting in the school office to be picked up.

• Assist with contacting parents or guardians as needed for basic student needs, such as pick up, extra clothes, lunch, illness.

Attendance and Records Support

• Assist with clerical tasks and data entry for student attendance and records.

• Assist with Filing and maintaining student records, CA60 and documentation.

• Assist with processing forms and paperwork.

• Assist with enrollment-related paperwork and record organization.

Scope of Responsibility The Elementary Office Clerk serves in a support capacity to the Building Principal and Administrative Assistant. The Elementary Office Clerk is not independently responsible for the overall operation of the school office or for functions assigned to the building Administrative Assistant, including primary responsibility for student attendance, discipline records, payroll reporting, financial accounts, state reporting, enrollment reporting, or other administrative functions. Minimum Qualifications

• High school diploma or GED.

• Sufficient formal and/or informal training to provide the ability to read and write at a level consistent with the requirements of the position.

• Excellent understanding and knowledge of current technology and to utilize these skills everyday in the performance of the position.

Preferred Qualifications

• Experience working with students.

• Two years of experience working in an office environment.

Physical Requirements While performing the duties of this position, the employee is regularly required to sit, stand, walk, communicate verbally, use a computer and other standard office equipment, and interact with students, staff and members of the public. The employee may occasionally be required to bend, stoop, reach, and lift or move office materials and supplies weighing up to approximately 30 pounds. Contract location: Classification 1, Category B, Clerks (LOA) Work Schedule Schedule:

• 5.75 hours per day (continuous), 5 days a week

• Work year 193 - 195 days

• Start date:Ten work days before student days with an option to work up to 8 hours a day during those 10 days with administrator approval.

• Student schedule days per district calendarEnd date: Five work days after students' last day.
