About this role
The Instruction Program Assistant III provides routine clerical and administrative support to the various functions of the Instruction department. This position maintains records and files, prepares correspondence and informational materials, responds to routine inquiries, coordinates office needs, and performs a variety of administrative tasks to support efficient departmental operations. Essential Job Functions:
• Maintains complete records of certain financial transactions for the department by maintaining a productive financial filing system in compliance with general office policies and procedures.
• Establishes and coordinates the efficient operation of several account lines; reconciles accounts and provides reports for the central office.
• Prepares the monthly annual reports and records in compliance with auditor's regulations; maintains financial reports and provides information to supervisors as requested.
• Maintains productive communications with vendors to secure and maintain supplies and equipment.
• Maintains organized department records, files, forms, and general office documentation.
• Provides routine clerical and administrative support to the department and the leadership teams of the department.
• Receives and screens visitors, telephone calls, email, and mail; responds to routine inquiries and refers matters requiring supervisory attention as appropriate.
• Prepares and distributes correspondence, memoranda, reports, and other routine documents using established procedures and formats.
• Prepares informational materials, agendas, forms, and other documents specific to the department.
• Maintains calendars, schedules meetings, and assists with meeting preparation and follow-up as requested.
• Maintains accurate records and files related to department activities, programs, and operations.
• Processes routine departmental paperwork, forms, purchase documentation, and other administrative materials in accordance with established procedures.
• Assists with the preparation and organization of routine reports and information requested by supervisors.
• Communicates with vendors and other external contacts regarding routine departmental needs, supplies, equipment, and services.
• Orders, receives, and maintains office supplies and materials as assigned.
• Assists with the coordination of departmental events, meetings, trainings, and other activities.
• Provides routine assistance to staff regarding departmental procedures, forms, schedules, and other administrative matters.

Required
• High School Diploma or GED
• Three (3) years of experience in a bookkeeping, accounts payable or related position
Preferred
• Associates Degree in Finance, Accounting or related field
