2026-2027 Long-term Substitute Administrative Assistant to the Building Administrator - Preschool
• Immediate start date, with an anticipated end date of December 23, 2026 (subject to change).
• May work up to six (6) hours per day - Monday through Friday (schedule may be adjusted by Principal)
• Rate of pay: $38.19 per hour
Reports to the Principal of Early Childhood Programs Primary Purpose Under the direction of the building Principal , the Long-term Substitute Administrative Assistant provides administrative, financial, organizational, and secretarial support to the building administrator. As needed, the position may also handle public relations support, field inquiries, resolve routine procedural issues, handle correspondence, and contribute to the smooth operation of the school and the social well-being of the Lincoln Public School community. Will process bi-weekly payroll time sheets for ESPs, and Substitute Teachers. Some additional r esponsibilities may be: 1) Financial management
• Assist administrators with the development and management of budgets. • Monitor, maintain, and execute necessary budget transfers, requisitions, and account reconciliations for General Funds, Revolving Funds, Grant Funds, and Student Activity accounts that are under the responsibility of the Principal or school-based administrator. • Run monthly reports from Financial Management System (MUNIS) to verify, reconcile, and monitor expenditures and provide budget projections as required. • Advise administrator of account balances and specific issues or concerns. • Interact with vendors and contracted providers supplying goods and services to the district and schools. • Process requisition requests and purchase orders, confirm receipt of materials and services, oversee distribution of supplies and materials. • Track and monitor open purchase orders, and prepare purchase orders for payment. • Resolve routine billing issues. • Coordinate yearly supply “bid list” items. • Support administrators with implementing proper purchasing procedures. • Coordinate payments for Preschool Tuition
2) School operations • Coordinate transportation logistics for field trips. • Support Principal with managing appointments and personal calendars. • Manage school calendars. • Entering building work orders as needed. • Work with multiple databases, computer systems, and software (including MUNIS, Google systems, PowerSchool, Frontline). • Develop, maintain, and run reports, including financial, staffing, and Lincoln Public Schools student reports. • Prepare announcements and publications for parents, staff, students, and community, and provide public relations support. • Support Administrators with creating systems for tracking data. • Maintain confidentiality of information. • Provide emergency desk coverage for school front office administrative assistants, while continuing to complete role-specific duties. • Support building use coordination. • Responsible for maintaining inventory and database of supplies. • Responsible for maintaining supplies in faculty and staff prep rooms. • Manage supply closets and supplies for building copiers. • Resolve routine issues and answer routine questions within scope of authority. • (Hanscom Only) Responsible for signing on visitors to the Base, and traveling to the gate to get visitors a pass. • Perform other related duties as assigned.
