Wood County SSA Speech Department Secretary Position Summary Wood County SSA is seeking a dependable, organized, and professional Speech Department Secretary to provide administrative support to the Speech Department. Wood County SSA serves Quitman ISD, Mineola ISD, Hawkins ISD, Alba-Golden ISD, and Yantis ISD. This position is responsible for coordinating communication and scheduling among five Speech-Language Pathologists, district personnel, parents/guardians, and ARD committee members while maintaining accurate records, required timelines, and confidentiality. Qualifications Required:
• High school diploma or equivalent
• Minimum of two years of secretarial, clerical, or administrative experience
• Prompt and dependable attendance
• Strong verbal and written communication skills
• Excellent organizational and time-management skills
• Ability to manage multiple schedules, responsibilities, and deadlines
• Ability to maintain strict confidentiality
• Proficiency with email, electronic calendars, spreadsheets, and basic office technology
Preferred:
• Previous experience in special education or a school setting
• Familiarity with ARD meetings, special education procedures, and IDEA
Requirements Essential Duties and Responsibilities
• Perform general secretarial and clerical duties for the Speech Department, including answering phones, preparing correspondence and forms, copying, filing, and data entry.
• Organize and schedule ARD meetings by coordinating mutually agreeable dates and times among Speech-Language Pathologists, district personnel, parents/guardians, and other required ARD committee members.
• Communicate professionally with parents/guardians regarding ARD scheduling and contact them as needed to confirm or remind them of upcoming meetings.
• Create and distribute ARD invitations and required notices, including Google Calendar invitations and mailed notices.
• Ensure ARD invitations and notices are completed and distributed within required legal timelines.
• Follow applicable Individuals with Disabilities Education Act (IDEA) requirements, state special education requirements, and Wood County SSA procedures related to scheduling, notices, documentation, and timelines.
• Maintain Speech-Language Pathologists' calendars and assist with tracking meetings, deadlines, and required documentation.
• Create, update, and maintain spreadsheets and other data-tracking systems for the Speech Department.
• Organize and maintain accurate electronic and paper student records, including filing ARD and speech-related special education documentation.
• Coordinate communication among Speech Department staff, member districts, parents/guardians, and other appropriate personnel.
• Maintain confidentiality of all student, parent, and personnel information.
• Provide professional and courteous assistance to parents, district staff, visitors, and other individuals contacting the Speech Department.
• Perform other administrative and clerical duties as assigned.

Employment Terms Contract: 202 days Compensation: $13.00–$15.00 per hour, commensurate with experience Work Location: Wood County SSA Office, Quitman, Texas Reports To: Wood County SSA Director of Special Education and Speech Coordinator
