Secretary / Administrative Assistant 7.5 hours per day (Monday - Thursday) Position Summary The Shelley Work-Based Academy and Career and Technical Education (CTE) Secretary/Administrative Assistant provides administrative, clerical, and student support to ensure the efficient daily operation of the school. This position serves as a primary point of contact for students, parents, staff, visitors, and community partners and works closely with the principal and staff to support student enrollment, attendance, online learning, work-based learning, and general school operations. Essential Duties and Responsibilities
• Assist with student registration, enrollment, withdrawals, and enrollment in online learning platforms. • Maintain student information, attendance, grades, schedules, and records using PowerSchool and other district systems. • Answer phones, emails, mail, and general correspondence. • Communicate with parents regarding attendance, school requirements, and other needs. • Greet visitors, manage visitor check-in, and maintain a welcoming and professional front office. • Manage student Chromebook checkout, returns, and related records. • Order supplies and assist with purchasing, invoices, and management of the school budget. • Coordinate student lunches with other district schools. • Schedule buses and transportation for field trips, career activities, and other school events. • Assist the principal with tracking students participating in work-based learning, including student hours, employer information, evaluations, and related documentation. • Maintain accurate and confidential student, financial, and school records. • Provide general administrative support to the principal and school staff. • Perform other office and school-related duties as assigned. Required Skills and Qualifications
• Strong organizational, communication, and customer-service skills. • Ability to manage multiple tasks and changing priorities. • Proficiency with Google Workspace and/or Microsoft Office products. • Ability to learn and effectively use PowerSchool, online learning platforms, and other district technology. • Strong attention to detail and ability to maintain accurate records. • Ability to communicate positively and professionally with students, parents, staff, and community members. • Ability to maintain confidentiality and use sound judgment when handling sensitive information. • Basic knowledge of purchasing, bookkeeping, and budget tracking preferred. • Previous office, administrative, or school experience preferred.
