Primary Purpose Implement efficient employment procedures for transportation staffing and ensure compliance with District, DPS, USDOT, and FMSCA requirements. Actively engage in actions that contribute to the overall mission and strategic plan of Clear Creek ISD. Qualifications Education/Certification/Licensure
• High school diploma or GED
Special Knowledge/Skills
• Effective communication, interpersonal and public relations skills
• Strong organizational and file management skills
• Working knowledge or ability to learn, Microsoft Word, Excel, Kronos, Laserfiche, and TalentEd Knowledge of general office procedures and equipment
• Ability to be detail oriented, prioritize, and work effectively under stress and frequent interruptions
• Ability to work independently with minimum supervision
Experience
• Minimum of 3 years successful secretarial experience preferred.
Major Responsibilities and Duties
• Schedule the bus driver's certification and re-certification classes as required by Region
• Maintain schedule and documentation of training, physicals, driver certification and driving
• Request and monitor background checks for all
• Conduct biannual Motor Vehicle License checks for all personnel who may operate a district
• Maintain onboarding files and related employment documentation for all new hires for the Transportation Department employees and coaches, ensuring accuracy, completeness, confidentiality, and compliance with district recordkeeping requirements
• Maintain updated contact information for Transportation Department
• Monitor FMSCA Drug Clearinghouse for CDL holders and potential
• Monitor employees' certifications, licenses, credentials and required training requirements; provide timely notifications regarding upcoming expirations to ensure employees remain compliant with all legal and regulatory requirements.
• Assist Human Resources in random drug testing
• Manage hiring process of new employees, schedule interviews, conduct reference checksand complete PAN forms on new employees, employee changes and terminations.
• Maintain current roster of Transportation employees
• Assist with the Training Department with the coordination and administration of Crisis Prevention Intervention (CPI) Training when needed Assist with Preparing and submitting First Report of Injuries (FROI) for Worker's Compensation claims, ensuring accurate documentation, timely filing, and compliance with district polices and applicable regulations.
• Assist employees with personnel issues
• Manage DOT physical examination processes and coordinate Region 4, certifications payment procedures to ensure timely completion and regulatory compliance.
• Assign employees to appropriate supervisors within Laserfiche and maintain accurate organizational records.
