OSAGE COMMUNITY SCHOOL DISTRICT ADMINISTRATIVE ASSISTANT The mission of the Osage Community School is to sustain and enhance a caring community to produce enthusiasm for lifelong learning. JOB SUMMARY Reports to: Superintendent of Schools Summary: Responsible for administrative and office support activities to ensure efficient day-to-day operations of the school, and to support the work of the Superintendent, Administrative Team, and other staff members. Duties include district office phone calls, receiving and directing visitors and delivery personnel, hot lunch reporting for the district, a variety of district level tasks utilizing a variety of software, including social media. Must possess strong oral and written communication skills. RESPONSIBILITIES & ESSENTIAL FUNCTIONS
• Works with other district secretaries.
• Support for Infinite Campus.
• Keeps track of all receipts for district credit cards.
• Get money boxes ready for district events.
• Counts and deposits money that has been collected throughout all buildings
• Coordinate substitute teachers and staff; contact substitutes based on employee absences.
• Provide the daily absent/substitute list to administration each morning.
• Help with new school year preparation.
• Input registration fees.
• Assist SBO/HR with duties as needed
• Enter payables
• Troubleshoot daily time clock issues.
• Prepare employee timecards for payroll processing.
• Maintain filing systems and general office organization.
• Customer Service
• Answers all phone calls to the Superintendent's Office, greets visitors (students, community members, outside business personnel, etc.).
• Excels at engaging people and assisting them in a variety of areas.
• Direct phone inquiries to the appropriate staff members or their voice mailbox.
• Provide secretarial and administrative support to management and other staff as needed.

SPECIFICATIONS AND/OR QUALIFICATIONS
• 2-4 year degree is highly preferred but not required.
• Experience in the educational field is preferred.
• Experience in an administrative assistant capacity.
• Flexibility to continually changing circumstances and interruptions throughout the day.
• Strong sense of adaptability to changing circumstances.
PHYSICAL REQUIREMENTS The physical demands are representative of those that must be met by an employee to successfully perform the essential functions of this job. WORKING CONDITIONS The work environment characteristics described are representative of those an employee encounters while performing the essential functions of this job. Duties are normally performed in an office/school/classroom environment. Lighting and temperature are adequate, and there are no hazardous or unpleasant conditions caused by dust or other materials.
