Major DutiesThe position serves as a Administrative Support Assistant in the Materials Control And Analysis Division, Assistant Register and Director of Operations (ARDO) within the United States Copyright Office (USCO). The Materials Control and Analysis Division (MCAD) is responsible for the intake and initial processing of service requests and other requests arriving by mail, processing of fees, and out-processing of completed requests. The position reports to the Chief, MCAD. As the Administrative Support Assistant, you will: Develop and use procedures that track and coordinate the work of the division office and the three sections. Work closely with the division's management team to establish priorities ensuring that projects are completed accurately, efficiently, and in a timely manner. Establish and maintain the office's paper and digital record-keeping systems and must be capable of organizing and keeping the division's records so that they are complete, accurate, and easily accessible to all permitted users. Safeguard extremely important and confidential files, including employee evaluations, disciplinary matters, and Personnel Action Requests (PARs) and be capable of keeping information in strict confidence. Greet visitors, answer their questions, resolve their issues, and direct them in a helpful, courteous manner and may interact with prominent individuals such as top library executives or other government officials under the guidance of the division's management. Exercise independent discretion to schedule meetings and accept appointments for the division's management. Book meetings rooms and conference areas to accommodate division meetings, notify participants of dates, times, and locations of meetings scheduled, and may be asked to prepare background materials or to organize information for division staff or others to use at meetings or in other venues. Serve as a time and attendance timekeeper for the division, processing and transmitting time and attendance records accurately and in a timely manner. Receive, process and distribute incoming correspondence and assist staff with outgoing mail as directed. Create and maintain control records of all incoming correspondence, action documents, correspondence replies, and serve as Freedom of Information Act (FOIA) request contact, seeing that the office's reply is timely and accurate. The salary range indicated reflects the locality pay adjustments for the Washington, D.C., Metropolitan area. The incumbent of this position will work a flexitime work schedule. This is a non-supervisory, bargaining unit position.
