General Accountability The Payroll & HR Systems Specialist is responsible for accurate, compliant payroll administration across Canada and the United States, coordination of international payroll changes, and continuous improvement of payroll and HR systems. This role partners closely with HR, Finance, Sales Operations, employees, and external providers to keep payroll data, reporting, and processes reliable and efficient.

Duties and Responsibilities

Payroll Operations - Canada & United States

• Manage end-to-end payroll for employees in Canada and the United States, ensuring accuracy, timeliness, and compliance with applicable requirements.

• Maintain payroll data for employee changes, including hires, departures, compensation changes, leaves, bonuses, commissions, deductions, and other payroll updates.

• Administer payroll-related benefits and deductions, including taxable benefits, retirement contributions, and equity-related taxable events, and support year-end payroll activities.

• Partner with Finance and external providers on payroll reconciliations, journal entries, accruals, tax filings, reporting, controls, and audit support.

International Payroll Coordination

• Coordinate payroll changes for international employees with local payroll and bookkeeping partners.

• Review international payroll information for completeness and accuracy and ensure employee changes are communicated to local partners on time.

Payroll & HR Systems / Process Improvement

• Serve as a payroll and HR systems subject matter resource and support implementations, integrations, migrations, upgrades, testing, and system enhancements.

• Maintain data integrity across payroll, HRIS, benefits, Finance, commission, time-off, and equity administration systems through validation, audits, and reconciliations.

• Identify opportunities to simplify and automate payroll and HR processes and maintain related procedures, workflows, controls, and documentation.

Cross-Functional & Employee Support

• Partner with HR, Finance, Sales Operations, and external vendors on payroll activities, reporting, employee changes, and commission processing.

• Respond to employee payroll-related questions and provide documentation and support for internal and external audits.

Education and Certifications

• Diploma or bachelor's degree in Accounting, Finance, Human Resources, Business Administration, or a related field, or equivalent practical experience.

• Canadian payroll certification (e.g., Payroll Compliance Professional/PCP) is preferred; equivalent payroll or accounting certification is an asset.

Key Attributes

• 5+ years of progressive payroll experience, including hands-on Canadian payroll experience.

• Experience supporting U.S. payroll, preferably across multiple states, with working knowledge of applicable federal, state, and local requirements.

• Strong understanding of payroll accounting, reconciliations, accruals, payroll controls, and year-end activities.

• Experience supporting payroll or HRIS implementations, integrations, testing, migrations, or process improvements.

• Experience administering payroll-related benefits, retirement plans, and/or equity compensation is an asset.

• Experience coordinating international payroll through local providers is an asset.

• Experience with ADP, Computershare - EquatePlus, or similar payroll/equity platforms is an asset.

The expected annual salary range for this role is $75,000 -$90,000 CAD. Actual compensation will be determined based on experience, qualifications, and job-related factors. This role may also be eligible for participation in the company’s benefits programs, such as a group RRSP and medical benefits paid by the employer.
