About the Role:

We are looking for a cheerful and capable Administration Assistant to help keep our workplace running smoothly. This is a varied, people-focused role where no two days will look quite the same. You will provide reliable, organised and friendly support across the office, helping our teams stay connected, prepared and able to do their best work.

Reporting to the EA to the CEO, you will be an important part of the wider support network at Bay Venues. You will help with day-to-day office administration, meeting coordination, diary support, shared inboxes, travel and conference bookings, basic finance administration, and support for internal events such as Staff Updates, the 10 Year Dinner and Nga Tohu Toa.

You will also support meeting room bookings, equipment and catering requirements, maintain office and stationery supplies, assist with Board and Executive meeting set up when needed, and build positive relationships across the organisation so that coordination feels seamless for everyone involved.

This role would suit someone who enjoys being the helpful, calm and organised person others can rely on; someone who spots what needs doing, takes initiative, and enjoys contributing to a positive team culture.

About You:

You will bring 1–2 years’ experience in a customer experience or administrative role, along with a genuine interest in supporting people and helping things run well. A qualification or course in business administration, or something similar, would be helpful but is not essential.

You will be organised, approachable and calm under pressure, with strong written and verbal communication skills and a knack for building great working relationships. You will be comfortable juggling competing priorities, solving problems, using initiative and learning new systems quickly.

Most importantly, you will have a positive can-do attitude, a high level of discretion, and the confidence to work with a wide range of people across the business. Experience with systems such as Humanforce, Datascape or Orbit Travel would be a bonus, but we are just as interested in finding someone who is eager to learn and keen to be part of our team.
