We are seeking a Facilities Operations Supervisor to independently manage daily site operations by overseeing non-technical facility services, contractor activities, work order administration, and other daily operational support functions.
This role requires exceptional organizational skills, effective communication abilities, attention to detail, and a commitment to follow-through. You will serve as a key contributor to operational excellence and workplace culture, creating a positive and productive environment while acting as the primary problem-solver for facilities-related challenges.

This job pays between $75,000 and $90,000 per year plus short-term and long-term incentive plans and eligibility for a comprehensive employee benefits program featuring affordable and quality health care options and a 6% annual 401k retirement savings plan contribution.
Job duties:
Ownership of Facilities Services:
• Independently oversee and manage day-to-day activities for contracted facility services including security, janitorial, pest control, landscaping, snow removal, waste management, vending, uniforms, first aid cabinets, document shredding, parking lot maintenance, and roof maintenance
• Proactively manage vendor performance, address service issues, and ensure service quality
• Schedule vendor visits and coordinate access requirements
• Lead or actively participate in contract management, bidding, and vendor selection processes to ensure alignment with organizational priorities
• Monitor and approve invoices on time to ensure budget adherence and to prevent potential service disruptions
Site Operations:
• Proactively identify and resolve operational issues, ensuring seamless coordination of office and site service requests
• Confidently make decisions and implement solutions for cross-functional challenges, collaborating with relevant stakeholders as needed
• Conduct regular inspections to ensure facilities are safe, clean, and well-maintained
• Oversee mail room operations
• Assist with outage notifications and site communications
• Manage office layout, moves, and furniture requests
• Maintain inventory for office furniture and supplies
• Manage common area construction projects
SAP / Work Order Administration:
• Independently monitor and manage work order backlog, ensuring timely and accurate KPI reporting to leadership
• Maintain and update work orders using SAP and SharePoint systems
• Maintain accurate records and service documentation
• Support PM documentation processing and work order closeout activities
Required qualifications:
• High school diploma or equivalent
• 5+ years of experience in facilities coordination, operations support, property management, manufacturing administration, or related operational environment
• Experience managing and coordinating contractors and service vendors
• Demonstrated ability to take initiative in identifying and resolving operational issues without direct supervision
• Proven ability to hold self and contractors accountable with assertive decision-making and problem-solving skills
• Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams)
• Exceptional organizational abilities, coupled with a proactive approach to managing time and multitasking in a supervisor-level role
• Excellent written and verbal communication abilities
• Ability to work both collaboratively and independently while handling multiple tasks in a fast-paced environment
Preferred qualifications:
• Associates Degree or Higher
• 10+ years of experience in facilities coordination, operations support, property management, manufacturing administration, or related operational environment
• Experience in pharmaceutical, manufacturing, healthcare, or other regulated environment
• Experience using SAP, CMMS, or maintenance management systems
• Experience in independently managing cross-functional projects, including coordinating with multiple departments to resolve complex operational challenges
• Track record of assertive vendor management, achieving results through strong negotiation, follow-through, and performance oversight
• Knowledge of basic facilities operations and terminology
