Job Overview
The Administrative Assistant plays a critical role in coordinating and assisting all services offered to the office and clients. This position involves staff orientation, training and supervision in conjunction with the Clinical Supervisors. The ideal candidate is responsible for overall service delivery of clients, and requires on-call services as needed.
Scope of work
• Provide timely and professional assistance with telephone operations, guest reception, and faxing for all inquiries.
• Open and close office space as required.
• Conduct audits of client charts and billing records.
• Ensure the office is clean, organized, and well-maintained.
• Organize documents and manage office supplies efficiently.
• Accurately complete all data entry for Tracker information.
• Maintain continuous communication with staff regarding documentation requirements and updates on client status.
• Pre-screen client referrals by phone to assess service eligibility and assignment.
• Support the scheduling of interviews for upper management and communicate actively about potential hires.
• Maintain an organized filing and retrieval system for new-hire HR records, ensuring current and past records are securely stored.
• Assist with additional tasks as needed, as directed by the owner and management.
What we are looking for
• A minimum of 1-2 years of customer service experience providing direct support to individuals with psychiatric diagnoses and substance abuse issues.
• Must have at least a High School Diploma or Bachelor's Degree in a human services or related field (e.g., social work, psychology, counseling) and meet QMHP qualifications.
• Willing to undergo a criminal background check.
• Knowledge of community-based mental health support, casework documentation, regulatory compliance, community resources, and entitlement benefits.
What we offer
• This is a 1099 independent contractor position.
• Part-time and willing to work onsite for Tuesdays and Thursdays from 9:00AM-5:00PM.
