Position: RMA & After Sales Representative
Job Description: About the Role We are looking for an RMA & After Sales Representative to join our EMEA RMA & After Sales Team. In this role, you will be responsible for managing customer post-shipment and quality-related claims, product returns, and after-sales inquiries. You will work closely with customers, suppliers, and internal teams to ensure returns are processed efficiently and customer issues are resolved in a timely manner. What You Will Do As an RMA & After Sales Representative, you will support the end-to-end process of customer returns and after-sales activities.
Your Responsibilities Will Include
• Managing Return Material Authorizations (RMAs) and service requests from initiation to closure
• Coordinating product returns, replacements, repairs, and supplier-related activities
• Maintaining accurate documentation and tracking of returned products
• Ensuring returned products are restocked, scrapped, or returned to suppliers in line with company procedures
• Providing after-sales support and updates to customers regarding the status of their cases
• Monitoring open RMA and service request backlogs and driving timely resolution
• Investigating shipment and quality-related claims and supporting root cause analysis
• Cooperating with supplier returns teams to expedite returns and support failure analysis activities
• Working closely with Sales, Asset, Warehouse, Finance, and Supplier teams to resolve issues and improve processes
• Monitoring key performance indicators (KPIs) and identifying opportunities for continuous improvement
• Maintaining clear and professional communication with customers and internal stakeholders
This role follows standard business hours, Monday to Friday, with working hours of either 8:00-16:00 or 9:00-17:00. We operate in a hybrid work model, with 2-3 days per week spent in our Gdańsk office. To ensure a smooth onboarding experience and support your learning and development, the first three months are office-based.
Who You Are You are customer-focused, organized, and able to manage multiple priorities in a fast-paced environment. You enjoy solving problems, working cross-functionally, and taking ownership of customer issues through to resolution. Skills & Experience Required
• English proficiency at C1 level
• Good knowledge of MS Office applications
• Strong organizational and communication skills
• Excellent customer service mindset
• Strong problem-solving and analytical abilities
• Attention to detail and accuracy
• Ability to work independently and as part of a team
• Ability to thrive in a dynamic, fast-paced environment
• 1-2 years of experience in Customer Service, RMA/Claims Management, After-Sales Support, or a similar role.
