About this role

Job summary

Are you organised, proactive and confident working with data and people? We're looking for an Equipment Administrator to join our Community Equipment team and play an important role in ensuring equipment and medical devices are safely and efficiently managed across BNSSG.

You'll provide essential administrative support to the Equipment Lead and Senior Equipment Coordinator, maintaining accurate equipment databases, supporting audits and site visits, processing orders and helping to monitor the servicing and location of equipment.

Working with clinicians, patients, carers, local authorities, NHS organisations and external agencies, you'll handle a range of enquiries and confidential information with professionalism, empathy and discretion.

This is a varied role where you'll need to work independently, manage competing priorities and use your initiative in a busy environment. You'll also have the opportunity to contribute to improving systems, supporting equipment recycling and ensuring clinicians have access to the right equipment for the people they care for.

Main duties of the job

Provide day-to-day administrative support to the Community Equipment Service across BNSSG. Maintain accurate equipment databases, records and information systems, including tracking equipment locations. Collect, input and analyse data, supporting audits, reports and service monitoring. Liaise with clinicians, patients, carers, local authorities, NHS organisations and external agencies. Respond to enquiries professionally, sensitively and confidentially, including handling difficult or complex calls. Process requests and orders for specialist medical equipment within agreed limits. Support the scheduling and coordination of six-monthly equipment site visits across BNSSG. Monitor the servicing of medical devices to support safe and effective equipment provision. Support the issuing and administration of practitioner access to the equipment catalogue. Help develop effective systems for equipment recycling and reuse. Provide information and guidance to health professionals on available equipment and specifications. Manage your own workload, prioritising tasks and responding effectively to changing demands. Maintain high standards of confidentiality, electronic filing and information governance. Work closely with the Equipment Lead, Senior Equipment Coordinator and wider Community Equipment team to support the smooth running of the service.

Person Specification

Qualifications and Training Essential

Minimum 4 GCSE passes (or equivalent) including Mathematics and English or demonstrable ability in Mathematics and English. NVQ level 3 or equivalent (NVQ2 & demonstrable admin experience) in business administration or similar. Good knowledge of ordering systems (WAP, NHS Supplies) Full UK Driving Licence

Skills, Knowledge and Experience Essential

Experience of handling telephone enquiries Experience of using Microsoft office Experience of prioritising work in a busy envrionment Experience of inputting and retrieving information from data sources

Desirable

Knowledge, (or willingness to develop) of Electronic Patient Record systems, NHS ordering systems, community equipment provider systems including equipment management system
