Be the first friendly face our patients meet. As a Medical Receptionist you're the welcoming voice on the phone and the reassuring smile at the desk guiding people to the right care and keeping the practice running smoothly.

No two days are the same. You'll book appointments, process repeat prescriptions, navigate patients to the right service and support our clinical team behind the scenes. It's varied, people-focused work that makes a real difference in your community.

Please be aware that this role is 5 days per week Monday to Friday. Shift patterns are 07:45-13:15 and 13:00-18:30.

Main duties of the job

As the first point of contact for patients, you'll keep the front of house running answering calls, greeting visitors and making sure everyone reaches the right person or service. Alongside this sits a mix of behind-the-scenes admin that keeps the practice ticking: managing the appointment diary, handling prescription and record requests, and providing clerical support to the wider team. You'll also help patients get the most from digital tools like the NHS App, and work closely with colleagues across the practice to keep communication flowing.

In short: a busy, varied front-line role that blends people skills with organisation and attention to detail.

JOB SUMMARY

The purpose of the role is to:

Offer general assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone. Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way. Navigate patients to the appropriate care service. Undertake a variety of administrative duties to assist in the smooth running of the Practice, including the provision of clerical support to clinical staff and other members of the Practice team. Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies. JOB DUTIES & RESPONSIBILITIES

The duties and responsibilities to be undertaken by members of the Practice Reception team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Reception Team Leader, dependent on current and evolving Practice workload and staffing levels:

Opening up/locking-up of Practice premises and maintaining security in accordance with Practice protocols Monitor practice emails Manage timely completion of tasks for the attention of reception teams Registration and deduction of patients from the Practice Register Maintaining and monitoring the Practice appointments system Processing telephone, online and face-to-face requests for appointments, visits and telephone consultations, ensuring patients are directed to the appropriate healthcare professionals Care navigation to external care providers Filing and retrieving paperwork Processing repeat prescriptions in accordance with Practice guidelines Computer data entry/data allocation and collation; processing and recording information in accordance with Practice procedures Initiating contact with and responding to requests from patients, other team members and associated healthcare agencies and providers Providing clerical assistance, including word/data processing, filing, photocopying and scanning Keeping the reception area, noticeboards and leaflet dispensers tidy and free from obstructions and clutter Promote patient uptake of online consultation tools Promote patient uptake of the NHS App Process receipt/delivery of patient samples and vaccinations in line with cold chain policies

Person Specification

Experience Essential

Worked in a patient/customer facing role Telephone customer service Dealing with patients who may become confrontational Experience of complaint handling

Qualifications Desirable

English and Maths GCSE Grade C or above (Or equivalent grade)

Knowledge and Skills Essential

IT literate (including Microsoft packages Word and Excel) Articulate and excellent communication skills (verbal and written) Resourcefulness and use of judgement Maintain Confidentiality Polite and courteous Able to work at speed whilst maintaining accuracy Multi-tasker & Organised Motivated & Keen for additional responsibility Ability to work as part of an integrated team Ability to work independently without supervision Excellent punctuality
