Job summary
We are seeking an organised, proactive, and patient-focused Reception Team Leader to join our Neurosciences and TIA Clinic team. The successful candidate will lead and support the reception team, ensuring the smooth day-to-day running of administrative and patient-facing services across the department.
Main duties of the job
Key responsibilities include supervising reception staff, coordinating rotas and training, maintaining accurate patient records and IT systems, managing clinic administration, handling telephone enquiries, and providing a welcoming and professional service to patients, relatives, and visitors. The role also involves close liaison with multidisciplinary teams across the Trust to support efficient patient care and departmental operations.
The ideal candidate will have excellent communication, organisational, and leadership skills, strong attention to detail, and the ability to work independently in a busy healthcare environment. Previous administrative and supervisory experience is essential.

Neuroscience Wards and TIA Clinic
Provide comprehensive reception and administrative support across Neuroscience Wards and the TIA Clinic. Maintain accurate patient records, case notes, discharge documentation, and clinical coding processes. Update and manage patient information across multiple IT systems. Arrange follow-up appointments and support admission procedures, including overseas visitor requirements. Handle telephone enquiries and act as a key point of contact for patients, relatives, visitors, and staff. Liaise with departments across the Trust to ensure effective communication and patient flow. Prepare patient lists, distribute mail, and undertake general administrative duties. In the Absence of the Housekeeper
Monitor and report faulty equipment and facilities issues. Maintain clean, organised, and confidential reception areas. Ensure equipment and notes trolleys are cleaned and maintained in line with departmental standards. TIA Clinic
Coordinate clinic appointments, patient documentation, and records. Verify and update patient demographic information. Support patients attending clinic, including escorting them to other departments when required. Ensure all clinic paperwork and patient information is readily available and accurately maintained. Manage clinic-related telephone enquiries and maintain clinic equipment. Team Leadership and Additional Responsibilities
Supervise and support reception staff across the Neuroscience service. Promote a high-quality, patient-focused reception service. Coordinate staff induction, training, appraisals, and mandatory training compliance. Organise reception rotas, annual leave, and staffing cover, escalating concerns as appropriate. Monitor team performance, sickness absence, and adherence to policies and procedures. Ensure data accuracy across systems and contribute to service improvement initiatives. Participate in team meetings, special projects, and activities that support the efficient running of the department.
