About this role

Overview: This HR Administrator plays a crucial role in ensuring the smooth operation of Human Resources and administrative functions. You will be the bridge between HR, finance, and the broader team, helping to maintain a productive and efficient workplace.

Roles and Responsibilities:

• Provide high-level administrative support to the team, including managing calendars, scheduling meetings, scheduling company events and making travel arrangements.

• Prepare and edit corporate correspondence

• Maintain confidential files and records, ensuring proper organization and easy retrieval.

• Maintain records in accordance with the company’s records retention policy.

• Conduct research, gather information, and prepare reports as required.

• Coordinate and prioritize incoming requests and handle them efficiently.

• Manage and maintain office supplies, equipment, and facilities.

• Handle special projects and assignments as directed by the executive team.

• Demonstrate professionalism, discretion, and confidentiality in all interactions.

• Assist in the recruitment and selection process, including posting job openings, reviewing resumes, reformatting resumes, conducting initial screenings, and coordinating interviews.

• Support the onboarding process for new employees, including preparing offer letters, conducting orientations, and ensuring completion of necessary paperwork.

• Track full on-boarding process, background screening, on-boarding packets and project related documents, on-boarding team checklist (must be completed 7 days prior to start date).

• Manage off boarding of all employee and coordinate shipping of equipment.

• Maintain employee records and HR databases(BambooHR, Voya, Employee Navigator,C2C), ensuring accuracy and confidentiality.

• Assist in the administration of employee benefits programs and handle employee inquiries related to benefits.

• Help coordinate and facilitate employee training and development programs.

• Assist with performance management processes, including tracking performance reviews, setting up meetings, and preparing related documentation.

• Support employee relations activities, including managing employee recognition programs, gifts and organizing employee engagement initiatives.

• Stay updated with HR policies, procedures, and employment laws to ensure compliance.

• Collaborate with the HR team on various projects and initiatives.

• Timely and accurate executive support:

• Complete all calendar management and meeting scheduling tasks within specified timelines.

• Prepare and edit correspondence and documents accurately with minimal errors.

• Conduct efficient travel arrangements, considering cost-effectiveness and executive preferences.

• Confidential files and records organized and easily accessible.

• Efficient HR support:

• Post job openings promptly, and complete candidate screenings within specified timeframes.

• Ensure Employee onboarding process conducted smoothly, ensuring all necessary paperwork is completed accurately and on time.

• Employee records and HR databases maintained accurately and up to date, keep team updated (ie: new hire alerts and updates)

• Address benefits inquiries and employee queries promptly and professionally.

• Support training programs and performance management processes effectively.

• Professionalism and collaboration:

• Professional and courteous communication with all clients and team members.

• Adherence to confidentiality and data privacy requirements.

• Active participation in HR team projects and initiatives.

• Proactive identification of areas for improvement and suggesting actionable solutions.
