Wellness Experience Coordinator
The Club is a world-class corporate fitness and Wellness Centre with state-of-the-art equipment, strength training, cycling studio, yoga garden and personal trainers on hand. The Wellness Experience Coordinator is a full-time, dual-capacity role that combines exceptional guest service with program coordination and facility support. This role bridges front-of-house operations, member concierge services, and corporate wellness program delivery. Support both our individual members and our corporate partners, ensuring every experience at The Club is organized, welcoming, and aligned with our mission of high-performance wellness. With equal parts attention to detail, warmth, and operational savvy, the ideal candidate thrives in a fast-paced, health-forward environment and knows how to elevate both the individual client experience and the broader wellness culture. This role requires flexibility, with availability for early mornings, evenings, and weekends to meet the needs of a dynamic wellness facility.
Key responsibilities include, but are not limited to:
• Enroll new members, orient them to The Club, and offer personalized guidance on class and service selection.
• Assist members in booking classes, personal training, wellness sessions, and corporate services.
• Act as a point of contact for general inquiries-offering clear, supportive, and informative communication via phone, email, or in person.
• Conduct hourly facility walkthroughs to ensure tidiness, safety, and a high-quality member experience.
• Support the planning and execution of wellness and fitness challenges, team initiatives, and seasonal programs.
• Collaborate with the Assistant Wellness Manager to organize corporate activations, group programming, and wellness events.
• Manage daily scheduling systems and class bookings through Gym Master, ensuring accuracy and smooth operation.
• Maintain cleanliness and organization of the front desk, drawers, cupboards, and storage rooms.
• Process retail transactions accurately and assist with merchandise displays and stock awareness.
• Identify maintenance or janitorial needs and report them promptly to the appropriate personnel.
• Perform clerical duties such as answering phones, responding to emails, and completing data entry with professionalism and accuracy.
• Provide front desk coverage during peak hours.
The successful candidate must have:
• Bachelor’s degree (completed or in progress) in Health and Fitness, Human Performance or Business Administration or related field.
• Minimum of 3 years’ experience in the hospitality, fitness, or wellness industries, preferably in roles such as concierge, front desk, coordinator.
• Fitness certifications and/or personal training experience are considered a strong asset.
• Strong knowledge of health, wellness, and fitness environments.
• Approachable and calm demeanor with a genuine passion for wellness and service.
• Experience with member software platforms such as Gym Master (or similar) preferred.
• Tech-savvy and detail-oriented, with clear written and verbal communication skills.
Strong communication and interpersonal skills-able to explain policies clearly and build rapport across diverse client groups. $50,000-$60,000 per annum
